Position: Executive Assistant to the Mayor at Village of Woodmere Beachwood, OH

The assistant to the Mayor provides essential daily support to the Mayor and directors. This role is central to the effective operation of the Mayor’s Office, with responsibilities that include planning, organizing, and managing the mayor’s schedule to ensure alignment with administrative goals. Key duties involve coordinating meetings, engagements, and events; preparing, drafting, and distributing communications from the Office of the Mayor;

and serving as the primary point of contact for the Mayor.

The assistant exercises sound judgment maintains the highest level of confidentiality. (subject to the requirements of the Ohio Public Records Act) an Equal Employment Opportunity employer and ensures proactive coordination across Woodmere Village departments, external partners, and key stakeholders.

  • 3–5 years of experience as an executive assistant, administrative assistant, or in a similar role (preferred).
  • Coordinate communications for the mayor by drafting, editing, and preparing correspondence, reports, presentations, letters, and related documents.
  • Provide high‑level administrative and executive support to the mayor, exercising exceptional judgment, discretion, and professionalism in all matters.
  • Develop and maintain organizational systems to track priorities, manage information, and ensure timely follow‑through on tasks and commitments.
  • Serve as the primary point of contact for the mayor by screening calls, managing requests, greeting visitors, and ensuring a welcoming and professional environment in all interactions with the public, staff, and external partners.
  • Strong organizational and prioritization abilities, with the capacity to manage multiple competing tasks by assessing urgency and impact.
  • Perform additional duties assigned by the mayor to support effective and efficient Village operations.
