Administrative Assistant – Tax Department Support
Location: Beachwood, OH
Schedule: Full-Time | Monday-Friday | Occasional Overtime
Are you a proactive professional who enjoys staying organized, solving problems, and helping a team succeed? We are seeking an Administrative Assistant to support our Tax Department and play an important role in the day-to-day operations of a well-established professional services firm.
This is more than a traditional administrative position. We are looking for someone who takes initiative, anticipates needs, manages multiple priorities, and thrives in a fast-paced office environment. The ideal candidate is a self-starter who enjoys finding solutions, improving processes, and contributing to the success of the entire team.
What You’ll Do- Prepare, proofread, and format professional documents, reports, presentations, and correspondence
- Coordinate meetings, calendars, conference calls, and travel arrangements
- Manage incoming calls, emails, mail, and client communications
- Maintain electronic and physical files with a high degree of accuracy and confidentiality
- Assist with client onboarding and document management systems
- Support special projects and department initiatives
- Collaborate with administrative staff to ensure smooth office operations
- Provide backup support to reception and other administrative team members as needed
- Help identify opportunities to improve processes and increase efficiency
- Minimum of 2 years of administrative experience in a professional office environment
- Strong organizational and time-management skills
- Excellent written and verbal communication abilities
- Ability to prioritize multiple projects and meet deadlines
- High level of professionalism, discretion, and attention to detail
- Strong problem-solving skills and ability to work independently
- A team-oriented mindset with a willingness to jump in and help where needed
- Proficiency with Microsoft Office (Word, Excel, PowerPoint) and Adobe Acrobat
- Experience in a professional services environment
- Accounting, bookkeeping, tax, or financial services experience is a plus, but not required
- Associate’s or Bachelor’s degree preferred
