Requirements

  • Results oriented—relies on experience and judgment to plan and accomplish goals in a timely fashion.
  • Minimum 2 years experience in an administrative role.
  • Good analytical business sense with strong organizational skills.
  • Must have the ability to work cohesively with co-workers as part of a team and assist with creating a team atmosphere as a liaison between the stores and corporate office, with a high level of energy and motivation.
  • Must have a complete and comprehensive knowledge of products in relation to the standards set forth by HPG.
  • Must be able to travel to new projects and stay for periods of time (1 week).
  • Knowledge of food industry concepts, restaurant equipment, supplies, and operational needs.
  • Better than average computer skills—knowledge of Microsoft Office applications, spreadsheet programs, and internet, PowerPoint.
  • Solid mathematical skills, knowledge of measurements.
  • Work a flexible work week based on business needs (some weekends required).
  • Experience with online purchasing.
  • Prior experience in the hospitality field.

  • Primary Job Function
  • Oversee and approve invoices, verifying correct approval process and contracted pricing as directed.
  • Maintain positive relationships with vendors.
  • Manage delivery schedules at locations to ensure adherence to guidelines established as directed.
  • Coordinate and delegate storage and delivery areas, ensuring security of such at the corporate office (US Foods).
  • Manage Purchase Order System as well as approval for items purchased by Corporate Chef.
  • Maintain/record all over purchases/mispurchases for review in the over‑expenditure report from beverage and culinary departments, Director of Operations.
  • Advise all managers/chefs of changes in contract pricing bids or vendors as directed.
  • Monitor orders to ensure receipt in a timely fashion and in accordance to company specifications.
  • Consult with restaurant managers on orders, violations and discrepancies.
  • Maintain and revise/update the contract database, ensuring new information and contacts are kept current.
  • Maintain neat and organized contract files, ensuring copies are signed by the vendor and a Hyde Park representative and placed in the drawer.
  • Research online items as requested to find the most economical prices.
  • Create new opening binders with vendor information, specs, and warranty sheets.
  • Create labels for all new equipment and send to the store to ensure placed on equipment for warranty and repair purposes.
  • Write memos and correspondence as needed by the Corporate Chef.
  • Assist with answering the telephone at the corporate office and directing calls in a professional manner, assisting guests with needs, directing calls, taking messages.
  • Execute company public relations policies in department and such relations to buyers, sellers, and the public.
  • Stay on top of office schedule and direct guests and managers as to whereabouts.
  • Assist with safety program, educational materials, tracking as directed by the Operations team.
  • Obtain pricing and quotes via online or through vendors as directed by Operations Managers.
  • Delivery of materials, menus, collateral to located stores as directed (mileage reimbursed).
  • Assist with creation, revisions of materials for new concepts, openings.
  • Request and receive information from stores such as menu items sold, dates, and reports as directed.
  • Creation of inventory schedule/accolades on a monthly basis.
  • Retrieval of competitors menus quarterly.
