We are seeking an exceptional Client Service Associate who brings warmth, professionalism, and a passion for delivering a concierge‑level client experience.
What You’ll DoDay-to-day responsibilities include managing client service inquiries and supporting operational tasks to provide an elevated experience and high level of service to our clients. We are searching for someone with a positive, upbeat attitude with strong interpersonal, communication and organizational skills, who can help us exceed our clients' expectations.
Client Service and Relationship Management- Respond to client inquiries promptly, providing guidance on account-related matters and addressing service requests.
- Contribute to the development and execution of client service standards resulting in client retention and satisfaction
- Conduct proactive client outreach to schedule and confirm upcoming meetings or follow-ups.
- Own the client recognition process including sending birthday cards, anniversary cards and other client event communication.
- Oversee the account opening process for new clients, including preparation and submission of required documents.
- Perform account maintenance tasks such as updating client information, managing beneficiary changes, and processing service requests.
- Work closely with custodians and internal teams to address and resolve account-related issues.
- Contribute to the development and execution of client service standards that drive retention and satisfaction.
- Maintain accurate client records in the CRM and ensure all account-related documentation is up to date.
- Manage the scheduling and firm-wide calendar of associated financial advisors, including pro-active reach outs to schedule and confirm upcoming client reviews or follow ups
- Support office supply needs including inventory management
- Collaborate with the team on process improvements to streamline account servicing and client interactions.
- 3+ years of client service experience, ideally in the financial services industry directly supporting financial advisors or another high-touch client service role.
- Superior verbal and written communication skills—friendly and helpful in all interactions, whether on the phone, in person, or via email.
- Genuine interest in delivering exceptional service and fostering client relationships.
- Strong attention to detail and accuracy, especially in handling account documents and processes.
- Excellent technology skills, including experience with Word, Excel, Outlook and strong familiarity with a CRM tool
