Administrative Assistant
The Administrative Assistant supports warehouse operations by maintaining accurate inventory and shipping records, coordinating documentation for orders and logistics, and ensuring smooth communication between internal teams, vendors, and customers. This role focuses on data entry, documentation management, scheduling shipments, and assisting with inventory control and reporting in a fast-paced warehouse environment.
Responsibilities- Maintain and update inventory, shipping, receiving, and order records to ensure accurate and timely information.
- Process purchase orders, bills of lading, packing slips, and other shipping and receiving documentation.
- Enter and manage data within ERP, WMS, or other company systems to support order fulfillment and inventory tracking.
- Schedule inbound and outbound shipments in coordination with warehouse personnel and carriers.
- Assist with inventory counts, audits, and reconciliation activities to identify and resolve discrepancies.
- Prepare reports related to inventory levels, shipments, productivity, and performance metrics.
- Coordinate communication between warehouse personnel, vendors, and customers to support smooth operations.
- Ensure filing systems and warehouse records remain organized, up to date, and easily accessible.
- Assist management with special projects and other administrative duties as assigned.
- Support order fulfillment processes by handling administrative tasks related to orders and materials.
- Experience providing administrative support in an operations or warehouse environment.
- Strong data entry skills with attention to detail and accuracy.
- Experience with order processing and order fulfillment activities.
- Ability to work with ERP systems, including familiarity with Acumatica or similar platforms.
- Proficiency with Microsoft Office applications for documentation, reporting, and communication.
- Ability to perform material handling and serial part address lookup within warehouse systems.
- Strong organizational skills to maintain accurate records and filing systems.
- Effective communication skills to coordinate with warehouse personnel, vendors, and customers.
- Willingness to work a day shift schedule from 7:00 a.m. to 3:30 p.m.
Skills & Qualifications
- Experience working with warehouse management systems (WMS).
- Previous experience supporting shipping, receiving, or logistics operations.
- Ability to handle multiple tasks and prioritize in a fast-paced environment.
- Demonstrated reliability, strong work ethic, and commitment to quality.
- Comfort working with inventory counts, audits, and reconciliations.
- Ability to assist with special projects and adapt to changing priorities.
This position is fully onsite in a warehouse environment, working closely with warehouse personnel and logistics operations. The role follows a day shift schedule of approximately 7:00 a.m. to 3:30 p.m., with opportunities for overtime as needed. The environment involves working around inventory, shipping and receiving activities, and warehouse systems, including ERP and WMS platforms, as well as regular use of Microsoft Office for administrative tasks.

This is a Contract position based out of Beachwood, OH.
Pay and BenefitsThe pay range for this position is $21.00 - $21.00/hr.
