This position acts as the office manager to perform administrative, secretarial, and clerical tasks and provides support to the Department Chair and Program Directors in a multidisciplinary department. The Department of Sociology, Social Work, & Criminal Justice (SSWCJ) is a large department with nearly 600 undergraduate majors, 150 graduate students, and nearly 30 full-time and adjunct faculty. This position performs a wide variety of administrative duties and serves as a key communication link between the SSWCJ department and faculty, students, and the public.
Responsibilities- Provides administrative support to the Department Chair, Program Directors, and faculty. Monitors and develops schedules, assists in classroom assignments, works with advising and Degree Works, monitors budget, maintains supplies and equipment, and communicates with faculty and students as needed. Drafts department official communication and maintains website (as needed) and other electronic documents.
- Maintains department local area network database; prepares and distributes various correspondence; responds to emails; types required forms and reports; answers and screens calls; copies and faxes; coordinates and schedules meetings and events; greets visitors; manages calendar; and orders office supplies.
- Maintains all required accreditation materials and annual reporting such as formatting and drafting documents, and maintains the document repository for all programs.
- Provides related support by training and supervising student workers, arranging dinners and special events, processing reimbursements, and providing technical/software support and training.
- Provides administrative support to the faculty; organizes meetings, takes minute notation, and assists with consortium meetings.
- Other duties include creating reports for labels and lists, updating employee contact information, maintaining student records filing system, and performing other duties as assigned in response to the needs of the department.
- Minimum 2 years of administrative support experience in a professional setting
- Strong verbal and written communication skills
- Proven ability to work independently and manage multiple priorities
- Familiarity with office technology, including email, printers, and standard software (e.g., MS Office Suite)
- Associate’s or higher degree preferred
- Work experience at a college, university, or other school setting
- Understanding of university systems, student services, or departmental support workflows
- Serve as the first point of contact for students, faculty, and visitors to the department
- Answer phone calls, respond to inquiries, and direct requests appropriately
- Maintain department records, scheduling, and filing systems
- Support faculty with administrative needs such as supply orders, copying, and scheduling
- Track and communicate updates to department task lists or project deadlines
- Assist with meeting coordination and other department activities
- Handle time-sensitive tasks with discretion and professionalism
- Participate in required university trainings
- Knowledge and experience working in LU computer systems such as Banner, Cardinal Purch, Argos, Degree Works, AdAstra Scheduling, Chrome River, Smartsheet, etc.
Able to lift 25 lbs and perform a variety of physical tasks including lifting, bending, stooping, squatting, stair climbing, and walking between buildings.
Job ConditionsTypically, in an office setting that is climate controlled. The work schedule corresponds with typical working hours: 8am-5pm.
