Job Summary
Job SummaryThe Administrative Associate Sr. handles the day-to-day operations of the General Education department. This position performs administrative and office support, including but not limited to, maintaining paper and electronic documentation, providing information to visitors, students, faculty and staff; assisting students with registration and payment options. Handles quarterly report preparation and submission. Works under minimal supervision. This is a non-exempt position that reports directly to the Department Chair of General Education.
Duties/Responsibilities- Maintains and processes travel requests.
- Edit, proof, and write departmental documents.
- Prepares and processes routine program, office, and college documents.
- Process internal and external requisitions.
- Provide statistics as needed for department reports.
- Sort and distribute incoming and outgoing mail.
- Maintain and update syllabi and syllabi file.
- Maintain, order, and inventory departmental supplies and equipment.
- Organize and maintain office, program and academic files.
- Make copies and type non-computerized forms.
- Attend required training sessions.
- Maintain all inventory and budget for office.
- Make and maintain all requisitions and purchase orders for the fiscal year.
- Prepare all F3.2s for the department.
- File, fax, and scan documents and records.
- Create documents and spreadsheets.
- Answer phone, retrieve and respond to messages.
- Perform all other relevant duties as required.
High School Diploma or GED Required; 1-3 years of experience working in an office environment;
Excellent communication skills – verbal and written;
Skilled in using the Microsoft Office Suite (Word, Excel, etc.);
Strong customer service and detail-oriented skills;
Must be highly organized and motivated and able to maintain deadlines.
Post-secondary education in business or related field;
Work experience in a higher education institution;
Experience working with Banner.
Physical Requirements
This position requires the ability to: remain in a stationary position for most of the time; occasionally move about inside an office to access documents, office equipment, etc.; constantly operate a computer or other office equipment, such as a printer or copy machine.
