This position provides administrative support to the Phillip M. Drayer Department of Electrical and Computer Engineering. Responsibilities include assisting students, faculty, staff, and visitors; coordinating advising and graduate registration processes; maintaining departmental records and files; supporting course scheduling and enrollment functions; processing personnel and purchasing documents; and assisting with budget-related activities. The position also coordinates meetings, events, travel, and special projects while ensuring compliance with university policies and procedures.
Additional responsibilities include maintaining confidentiality of sensitive information, supporting departmental communications, and assisting with daily office operations to ensure efficient and professional service to internal and external stakeholders.
- Process and maintain records for Electrical and Computer Engineering advising appointments.
- Communicate with students and faculty regarding enrollment, advising, registration, and program information.
- Register graduate students.
- Cooperate with Graduate Studies, Registrar’s Office, and Graduation Office to support graduate processing and student record accuracy.
- Submit Electronic Personnel Action Forms (EPAFs) for faculty, students, and staff.
- Prepare university documents, maintain departmental records, and support day-to-day administrative operations.
- Attend and maintain records of department faculty meetings.
- Provide general office and administrative support to faculty, staff, students, and visitors.
- Build and amend departmental courses each semester using LU Schedule Building and other university systems as needed.
- Maintain and update departmental academic records and scheduling information.
- Prepare and complete departmental purchasing through Cardinal Purch.
- Assist with maintaining records related to departmental expenditures, purchasing, and financial transactions.
- Schedule and coordinate departmental events, advisory council meetings, prospective employee visits, and industry partner activities.
- Attend College of Engineering events as needed and assist with event logistics and coordination.
- Other duties may be assigned to this position on a regular or occasional basis to respond to the needs of the university.
- High School Diploma or GED.
- One year of administrative or office support experience required.
- Experience providing customer service and administrative support in a professional office environment.
- Basic proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
- Strong organizational, communication, and time management skills.
- Experience working in a higher education or academic environment preferred.
- Experience with Banner, Degree Works, Navigate, Cardinal Purch, or similar university systems preferred.
- Experience supporting student services, advising processes, or academic operations preferred.
- Experience coordinating meetings, events, purchasing, or departmental records preferred.
- Ability to manage multiple priorities in a fast-paced office environment.
- Expertise in Administrative and Office Management:
Demonstrated ability to handle many administrative tasks effectively within an academic environment. - Proficiency in Office Software and Tools:
Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, and other relevant software. - Strong Verbal Communication
Skills:
Excellent ability to convey information clearly and professionally in both one-on-one and group settings. - Experience with Learning Management Systems (LMS):
Familiarity with platforms like LU Learn (Blackboard) or similar systems for managing educational content and student interactions. - Dependability in Attendance and Time Management:
Proven track record of punctuality and consistent attendance. - Competence with Office Equipment:
Skilled in operating photocopiers, fax machines, multi-line phone systems, and other standard office machinery. - Understanding and Following Instructions:
Ability to comprehend and execute moderately complex oral and written instructions. - Effective Interaction with a wide range of Stakeholders:
Proficiency in engaging tactfully and professionally with students, prospective students, advisory council members, and faculty. - Multi-tasking Abilities:
