Position: Administrative Assistant II - Field Operations - Beaumont District Parole Office (722862)

Job Summary

Performs routine administrative support work. The role includes disseminating information, maintaining filing systems, and preparing and editing reports and documents. The position is performed under moderate supervision with limited latitude for initiative and independent judgment.

Responsibilities
  • Prepares and disseminates information regarding agency programs and services; answers phones and responds to requests for information regarding rules, regulations, policies, and procedures; and assists in the development of administrative and technical assistance policies and procedures.
  • Prepares, edits, and distributes correspondence, reports, studies, forms, and other documents; performs complex typing; and maintains filing and record‑keeping systems.
  • Assists in planning meetings and conferences; compiles administrative summaries of staff reports and recommendations for review; and assists in researching, composing, designing, and editing agency publications, including brochures, forms, manuals, and charts.
  • Performs criminal information searches and retrieval using the Texas Department of Public Safety criminal history system.
  • Performs a variety of marginal duties not listed, as determined and assigned as needed.
Minimum Qualifications
  • Education, Experience, and Training
    • Graduation from an accredited senior high school or equivalent (GED).
    • Six months full‑time, wage‑earning customer service, clerical, secretarial, administrative support, or technical program support experience. Fifteen semester hours from an accredited college or university may substitute for each six months of experience.
    • Parole, parole process, probation, or case processing experience preferred.
    • Must obtain a certificate of course completion for the Texas Law Enforcement Telecommunications System (TLETS) policy and procedures training within six months of employment date.
    • Must maintain TLETS access eligibility for continued employment.
  • Knowledge and Skills
    • Knowledge of office practices and procedures.
    • Knowledge of business terminology, spelling, punctuation, and grammar.
    • Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred.
    • Skill to communicate ideas and instructions clearly and concisely.
    • Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
    • Skill to interpret and apply rules, regulations, policies, and procedures.
    • Skill in problem‑solving techniques.
    • Skill in the use of computers and related equipment in a stand‑alone or local‑area network environment.
    • Skill to prepare and maintain accurate records, files, and reports.
    • Skill in the electronic transmission of communications.
    • Skill to type 45 words per minute with no more than 10 errors (preferred).
Additional Requirements
  • Ability to perform physical activities such as walking, standing, sitting, kneeling, pushing, stooping, reaching above the shoulder, grasping, pulling, bending repeatedly, identifying colors, hearing with aid, seeing, writing, counting, reading, speaking, analyzing, alphabetizing, lifting and carrying under 15 lbs, perceiving depth, operating a motor vehicle, and operating motor equipment.
  • Work conditions may include operating inside, around moving parts and objects, radiant and electrical energy, working closely with others, working alone, working protracted or irregular hours, and traveling by car, van, bus, and airplane.
  • Equipment used may include computer and related equipment, calculator, copier, fax machine, telephone, dolly, and automobile.
Salary and Compensation

Salary: $2,938.05 (retirement 2.5% less) – Monthly pay – Non‑exempt – Full‑time – Regular – No travel required.
