Job Summary
This position reports to the Assistant Director of Corporate Partnerships and performs administrative and office support for the Workforce department. Responsibilities include maintaining paper and electronic documentation, providing information to visitors, students, faculty and staff, assisting students with registration and payment options, quarterly report preparation and submission, generating Standard of Service Contracts, assisting with grants, handling highly confidential documentation and keeping it secure at all times.
The role works under minimal supervision. This is a non‑exempt position.
- Field telephone calls in a professional manner and serve as department receptionist.
- Handle mail pick‑up and distribution on a daily basis.
- Classroom set up / clean up.
- Quarterly report preparation – accurately input data into Xen Direct.
- Assist with quarterly report submission; correct any errors.
- Keep up to date on all grant reporting and close‑out activities.
- Respond to general Workforce email inquiries.
- Maintain stock of printed materials (e.g., forklift, medication aide update booklets and other common course printed materials) as needed.
- File, scan and index documents and records.
- Organize and maintain office supplies, files, promotional products, etc.
- Work with Executive Associate to learn basics of travel documents, purchase orders, request‑to‑pay vendor and other essential paperwork to act as backup when needed.
- Prepare customized certificates of completion for all continuing education courses and business industry courses as needed.
- Other duties as assigned.
- 1–3 years of experience working in an office environment.
- Excellent communication skills – verbal and written.
- Skilled in using the Microsoft Office Suite (Word, Excel, etc.).
- Banner experience is a plus.
- Strong customer service and detail‑oriented skills.
- Must be highly organized and motivated and able to maintain deadlines.
- High School Diploma or GED is required.
- Post‑secondary education in business or related field.
- Work experience in a higher‑education institution.
This position requires the ability to remain in a stationary position for most of the time, occasionally move about inside an office to access documents and equipment, and constantly operate a computer or other office equipment, such as a printer or copy machine.
