Clerical And Secretarial Support

Provides clerical and secretarial support for the Purchasing and Printing departments. Greets and assists visitors to the office; answers incoming telephone calls; assists in County inventory maintenance.

Duties & Responsibilities

Answers incoming telephone calls; screens and directs calls to appropriate person; scan multiple of documents, takes messages; types correspondence, memos, reports, forms, requisitions and other documents for department personnel; provides assistance and information within scope of responsibility and knowledge; greets visitors to the office and directs them to appropriate person for assistance; collects incoming and outgoing mail; assists in maintaining the County's vehicle inventory, requesting renewals, and title transfers;

provide inventory backup for departments requiring disposals and transfers of County inventory; assists in preparing annual inventory report as required by Local Government Code to appropriate County Elected Officials; assists Purchasing Agent and Purchasing Department staff members with projects as directed when needed. Regular and predictable attendance is an essential function of this position. Other job functions:

Education & Experience

High School diploma or GED; specialized and/or on –the- job training in secretarial skills and personal computer skills; 1 to 2 years of related job experience, including computer experience.

Knowledge, Skills, & Abilities

Considerable knowledge of accepted office practices/procedures, business English, math, spelling, vocabulary, grammar; effective verbal and written communication skills; ability to prepare effective correspondence on routine matters and to perform routine office management details without referral to or by supervisors; good typing skills required; good computer skills, including word processing, spreadsheet and document scanning applications; strong interpersonal skills to answer telephone, greet visitors, interact and cooperate with co-workers and deal effectively with all levels County employees and the general public.

Work Situations/Demands/Effort:
Job requires organizing; prioritizing; accuracy and attention to detail; working with the public (bidders, vendors); flexibility in order to perform a variety of duties; performing routine, repetitive duties; working in a high-volume environment; meeting frequent deadlines. Must be available to work between 8:00 a.m.

- 5:00 p.m., Monday through Friday.

WORKING CONDITIONS:

Work is performed primarily in a climate-controlled office environment, which is shared with other employees and accessible to the general public.

Physical Requirements:

Work is primarily sedentary; duties require climbing stairs, walking to other departments throughout the building to deliver documents and packages; travel to County buildings for inventory maintenance; frequent prolonged sitting at computer keyboard; frequent reaching, lifting of objects weighing up to 10 lbs.
