Position Summary
The Senior Office Manager plays a central role in ensuring the smooth and continuous improvement of FCTG headquarters operations. This position is responsible for maintaining a professional, efficient, and welcoming office environment while providing high-level administrative support to identified Executive Leadership.
Office Operations Responsibilities- Maintain and manage office supply inventory, including ordering and restocking as needed
- Serve as the first point of contact for visitors; answer and direct incoming phone calls in a professional manner
- Manage all incoming and outgoing mail and deliveries
- Communicate and enforce office policies and procedures
- Identify and drive opportunities for process improvement and more efficient office management; implement approved new opportunities
- Track and manage all office budget items including food, supplies, events, maintenance, and associated invoice processing
- Collaborate with Manager to plan and execute company-wide events, including team lunches, Executive lunches, as well as on-site and off-site gatherings
- Ensure the kitchen and Board Room are clean, organized, and fully stocked daily
- Serve as the primary point of contact for building management and facility service providers
- Oversee office cleaning and facilities maintenance, including kitchen upkeep, appliance maintenance and repair, and cleaning coordination
- Partner with HR and the Safety Coordinator on office safety planning and compliance
- Coordinate schedules, meetings, and logistical needs for visiting OpCo employees, vendors, customers, and candidates
- Provide comprehensive administrative support for identified Executive Leadership, including calendar management, meeting scheduling, travel booking, expense reporting, departmental invoice processing, and projects as assigned
- Lead and manage logistics for company events for Business Development and Marketing sales and training
- Highly organized, self-motivated, and exceptionally detail-oriented

- Demonstrated ability to manage multiple high-priority assignments concurrently as well as meet deadlines
- Strong interpersonal skills with the ability to read, adapt to, and build rapport with a set of diverse personalities and working styles
- Excellent written and verbal communication skills
- Proactive approach to time management and prioritization in a dynamic, fast-paced environment
- Strong analytical and problem-solving
- Proficient in Microsoft Teams and the full Microsoft Office suite
- Required:
4 - 5 years of progressive experience supporting VP level Executives, as well as 2 - 3 years of office management
