Seneca Peters Accounting & Tax | Beaverton, OR is a client-focused accounting, tax, and advisory firm committed to providing personalized service to businesses and individuals. As our firm continues to grow, we are looking for a friendly, professional, and highly organized Front Office/Receptionist -
Administrative Coordinator to join our Beaverton office.

Position Overview

The Administrative Coordinator is primarily a front-office and receptionist position and serves as the first point of contact for our clients and visitors.

A significant part of the day will be spent answering phones, greeting clients, managing incoming client requests, scheduling appointments, receiving and organizing documents, and keeping the front office running smoothly
. This position also provides administrative support to our accounting and tax professionals.

We are looking for someone who genuinely enjoys interacting with people, is comfortable handling a busy phone and front desk, and takes pride in creating a welcoming and professional experience for every client.

Key Responsibilities
Serve as the primary front desk receptionist and first point of contact for clients and visitors
  • Answer and route incoming phone calls, take detailed messages, and assist with general client questions
  • Greet clients, assist with document drop-offs and pickups, and ensure visitors receive prompt and professional service
  • Monitor and respond to general office emails and client requests
  • Schedule and coordinate client meetings and appointments
  • Receive, scan, organize, and route client tax and accounting documents to the appropriate team members
  • Maintain accurate and organized physical and electronic client files
  • Assist with assembling, processing, and delivering tax returns and other client documents
  • Support the tax and accounting teams with administrative tasks, correspondence, data entry, and document preparation
  • Process incoming and outgoing mail, packages, and deliveries
  • Maintain office supplies and help ensure the reception and common areas remain organized and professional
  • Assist with general office coordination and day-to-day administrative needs
  • Handle confidential client and financial information with a high level of discretion
What We're Looking For

The ideal candidate is someone who is personable, dependable, organized, and comfortable being the face and voice of the office
. Because this is a front-office-heavy position, you should enjoy frequent interaction with clients and be comfortable balancing phone calls, visitors, emails, and administrative requests throughout the day.

Requirements

Qualifications
  • Previous experience in a receptionist, front desk, administrative coordinator, or client service role
  • Strong customer service skills and a professional, friendly demeanor
  • Excellent verbal and written communication skills
  • Comfortable answering and managing a busy multi-line phone environment
  • Strong organizational skills and attention to detail

    Ability to manage multiple priorities and interruptions while remaining calm and professional
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel
  • Comfortable learning new technology and industry-specific software
  • Experience in an accounting, tax, financial services, legal, or other professional office environment is a plus
  • High level of integrity and discretion when handling confidential information
