Job Overview

Patient Benefits Representative –
Texas Oncology

This full‑time position supports the Revenue Cycle Department at our 1826 Point West Parkway clinic in Amarillo, Texas. The typical work week is Monday through Friday, 8:00 a.m. – 5:00 p.m.

Texas Oncology is the largest community oncology provider in the country and offers opportunities to guide patients through the financial portion of their medical care. The organization provides multiple avenues for professional growth.

Responsibilities
  • Obtain insurance coverage information and demographic data prior to treatment; educate patients on coverage, benefits, co‑pays, deductibles, and out‑of‑pocket expenses.
  • Assess patients’ ability to meet expenses, discuss payment arrangements, and educate about financial assistance programs. Complete Patient Cost Estimate forms based on diagnosis, insurance coverage, and financial assistance.
  • Complete reimbursement and liability forms for patient review and signature; forward appropriate information and forms to the billing office.
  • Obtain, from the Clinical Reviewer, insurance pre‑authorization or referral approval codes before each treatment.
  • Review patient account balances and notify front desk of patients needing meeting.
  • Ensure that patient co‑pay amounts are correctly entered into the system, allowing front desk collection.
  • At each visit, verify and update patient demographics and insurance coverage in the computer system according to SOPs.
  • Stay current on available financial aid; develop professional relationships with aid providers and network to obtain new programs.
  • Adhere to confidentiality, state, federal, and HIPAA laws with regard to patient records.
  • Maintain updated manuals, logs, forms, and documentation; perform additional duties as requested.
  • Other duties as requested or assigned.
Qualifications Level 1
  • High school diploma or equivalent.
  • Minimum three (3) years of experience as a patient pre‑services coordinator or equivalent.
  • Proficiency with computer systems and Microsoft Office (Word and Excel).
  • Knowledge of CPT coding and HCPCS coding.
  • Clear verbal communication skills and correct terminology usage.
  • Completion of required e‑learning courses within 90 days of hire.
Level Sr (In addition to Level 1 requirements)
  • Associate’s degree in Finance, Business, or four years of revenue cycle experience preferred.
  • Minimum three (3) years of pre‑services coordinator experience and two (2) years of patient benefits experience.
  • Demonstrated knowledge and application of insurance coverage benefits and terminology.

Physical Demands

Employees must be present at the site during regular business hours, sit or stand, talk or hear, and handle lifting of items up to 40 lbs. Reasonable accommodations may be made.

Work Environment

Exposure to communicable diseases, toxic substances, ionizing radiation, medical preparations, and other conditions typical of an oncology clinic. In‑person interaction with co‑workers, management, and clients; minimal travel may be required.
