Astrion has an exciting opportunity for an Administrative Support Specialist to support the Quick Reaction Capabilities Branch (HNAA), which is within the Aerial Networks Division (AFLCMC/HNA) and located at Hanscom AFB, MA.
LOCATION: Hanscom AFB, MA
Salary Range
: $65-$75,000 Annually
JOB STATUS: Full-time; salaried
Required Qualifications / Skills- GED and 10 years of administrative support experience (including 5 years of DoD experience preferred)
- Ability to effectively communicate orally and in writing
- Must have an ACTIVE Secret Clearance
- Must be a US citizen
- Ensure branch senior leadership is kept informed of all issues of interest that relate to the division operations
- Monitor progress toward accomplishment of various taskings and initiatives; manage branch level suspenses and deadlines
- Assist in preparing for division level events
- Draft documents for materiel lead (ML) and staff approval
- Maintain schedules and manage travel for division leadership
- Collect and organize information and prepare material for branch staff meetings and other meetings/reviews
- Disseminate branch policy and specific initiative guidance for members of the organization
- Coordinate, document, monitor, and support a variety of meetings and conferences to include scheduling (Outlook or SharePoint) and setting up physical and virtual meetings
- Draft documents for program management and functional staff approval
- Schedule and coordinate secure video teleconferencing meetings
- Administer functional SharePoint sites as Site Owner, including maintenance and PII scans
- Maintain official file plans and documents as Records Custodian
- Support Government Civilian timecard administration
- Manage travel for senior staff using the Defense Travel System
- Prepare meeting documentation, including attendance logs, minutes and/or action items
- Assist with in/out processing of all HNAA/HNAG functional military, government and contractor personnel
- Support branch leadership in administering quarterly reviews and award packages
- Serve as Alternate Agency Program Coordinator (APC) processing travel card applications, monthly travel card reports, tracking training and cardholder Statements of Agreement (SOA)
- Assist in managing office supplies by preparing orders and submitting for approval and purchase, and conducting inventories of existing office supplies
