About us
Waltzing Matilda Aviation is a Part 135 on-demand charter operator based at Hanscom Field in Bedford, MA. We fly a growing fleet of light, super-midsize and heavy business jets for charter clients and aircraft owners, and we're adding a second base at Dallas Love Field. We're a small team that cares about safety, sweats the details, and treats every trip like it matters, because to our owners and passengers it does.
Therole
The Operations Coordinator is part of the team that runs our Bedford fleet day to day. You'll plan trips from quote to completion, crew them legally, coordinate logistics, and make sure our clients, owners, and crews have a smooth experience. You'll report to the Part 119 Director of Operations and work closely with our Chief Pilot, Maintenance, and Sales teams. The ideal candidate is familiar with 14 CFR Part 91 and 135 regulations with emphasis on Operational Control.
Whatyou'll do
- Build and manage trips in Jet Insight flight planning software: aircraft and crew assignments, trip sheets, and itinerary changes
- Crew-schedule within Part 135 flight, duty, and rest limits, and track crew currency and availability
- Coordinate FBOs, fuel, catering, ground transportation, hotels, and crew logistics
- Support flight following and dispatch functions under WMA's operational control procedures, including weather, NOTAMs, slots, PPRs, and airport restrictions
- Arrange international trip support, permits, customs, and handling with our vendors
- Act as a point of contact for charter clients and aircraft owners before and during trips
- Coordinate with Maintenance on aircraft availability and scheduled downtime
- Keep accurate trip records and support post-trip billing and reconciliation
- Help with compliance programs as assigned, such as security program recordkeeping, drug and alcohol program records, and crew onboarding paperwork
- Share after-hours and weekend on-call coverage on a rotating basis
- 2+ years in Part 135/91 charter or corporate flight operations: scheduling, dispatch, or ops coordination
- Working knowledge of Part 135 duty/rest rules and general charter operations
- Experience with flight scheduling software (Jet Insight, FOS, Leon, Avianis, Level flight, or similar)
- Calm, clear communication under pressure. Plans change, and you keep everyone informed.
- Strong attention to detail and follow-through
- Customer-service instincts for high-expectation clients
- Ability to cover a shared on-call rotation in a 24/7/365 operation
- FAA Aircraft Dispatcher certificate
- International trip-planning experience
- Familiarity with TSA security programs, DOT drug and alcohol programs, or BambooHR
- Cabin attendant, line service, or FBO background
- $60,000–$70,000 annually, depending on experience
