Job Overview
The Bid Procurement Specialist plays a critical role in supporting the estimating team by managing subcontractor and vendor participation throughout the bidding process. This position is responsible for coordinating communications, organizing bid documentation, tracking subcontractor coverage, and ensuring all required information is collected accurately and on schedule.
The Bid Procurement Specialist helps ensure that all bids are complete, competitive, and compliant with company standards while maintaining strong relationships with subcontractors, suppliers, and internal team members.
Key Responsibilities
The responsibilities of this position include, but are not limited to:
- Bid Coordination & Subcontractor Outreach
- Adhere to estimating schedules established by the NNI estimating team
- Identify and solicit qualified subcontractors for upcoming projects
- Utilize key subcontractor lists and historical project data to ensure strong bid coverage
- Contact local supply houses and national vendors to request pricing when applicable
- Send Invitations to Bid (ITBs) with all required documentation to interested subcontractors
- Follow up with subcontractors to confirm intent to bid
- Assist subcontractors in obtaining answers to pre-bid questions
- Support estimators during bid-day follow-up and qualification calls
- Documentation & Organization
- Complete and maintain subcontractor qualification forms
- Receive, organize, save, and distribute subcontractor and vendor quotations
- Maintain updated call sheets and project coverage tracking documents
- Upload projects to bid platforms and respond to inquiries
- Keep bid sites current with drawings, RFIs, addenda, and reminders
- Compile and assemble complete bid books
- Enter drawing logs into cost proposals
- Set up budgets in cost comparison systems
- Add company names and pricing to bid sheets
- Site Visit & Communication Support
- Coordinate subcontractor attendance at site visits
- Provide estimators with site visit attendance lists
- Distribute site visit photos and relevant updates to subcontractors
- Administrative & Team Support
- Provide job status updates to management as required
- Report issues or concerns to management in a timely manner
- Answer and direct incoming calls as needed
- Assist estimators and management with additional assigned tasks
- Collaborate with other estimating team members to address coverage gaps
- Support fellow Bid Procurement Specialists with project workloads
- Compliance & Professional Standards
- Follow all policies outlined in the NNI Construction Employee Handbook and Safety Handbook
- Maintain professional communication with subcontractors, vendors, and internal team members
Knowledge & Skills Required
- Strong organizational and time-management skills
- Excellent verbal and written communication abilities
- Detail-oriented with the ability to manage multiple deadlines
- Proficiency in construction bidding platforms and estimating software preferred
- Ability to work collaboratively in a fast-paced team environment
- Working knowledge of Microsoft Suite, Google Docs, Share Point
