Essential Functions
The Administrative Assistant for the CBC Foundation provides support to the Director of the Foundation.
The Administrative Assistant is a Liaison to the business office and provides data for financial records.
Coordinates and maintains processes and procedures for the Foundation Scholarship Program.
Recruits and supervises all volunteers for events.
Processes student acknowledgement letters for college.
Job Duties and Responsibilities
- Attend to the daily office management, such as answering telephones, copying, filing, procuring office supplies, and other duties.
- Complete requisitions and general budget needs, travel plans, and necessary forms, conference registrations, and other reservations as needed.
- Manage and coordinate the Executive Director's Board and Events calendar, schedule, and travel arrangements.
- Maintain the Foundation webpage and Social Media.
- Print and mail acknowledgments and gift receipts for all donations.
- Provide administrative assistance for activities and events, including room reservations, maintenance requests, mailings, working with vendors, special event planning, and other clerical duties. This task includes evening and sometimes weekend work.
- Perform the administrative duties associated with meetings (such as notices, agendas, minutes, and other duties as assigned).
- Coordinate information packets for the board of directors, prospective and current donors, alumni, and others as needed.
- Enter and maintain data in the current donor database for resource development.
- File, catalogue, retrieve, and safeguard donor-related documents.
- Perform any additional duties as assigned by the Executive Director.
- Maintain strict confidentiality.
Minimum Qualifications:
Associate's degree. Three (3) years' increasingly responsible administrative or secretarial experience required. Experience in an educational setting preferred.
Preferred Qualifications:
Proficiency in Microsoft Office 365 (Word, especially mail merge, MS Forms, Excel, and PowerPoint), Basic Layout and Design, Website Design, and social media (especially photo graphic design). Excellent written, oral, and interpersonal communication skills. Strong organizational skills and attention to detail in Event Planning. General knowledge of office procedures. Must maintain the highest levels of confidentiality in all matters. Ability to interact with major donors, board members, and alumni.
Must support the missions of Coastal Bend College and the Coastal Bend College Foundation.

Travel Requirements
Occasional travel may be required to all sites or service areas.

Physical Requirements:
May be required to lift or carry objects up to 20 pounds.
