- Lease Administrator (Multi-Family) Position Summary
The Lease Administrator is responsible for overseeing lease administration, financial processing, and resident account management to ensure accuracy, compliance, and operational efficiency across the multifamily portfolio. This role manages lease entries, Financial Accounting Statements (FAS), renewals, move-outs, delinquency procedures, and related documentation in accordance with company standards and applicable regulations.
In partnership with corporate and on-site teams, the Lease Administrator supports a seamless leasing lifecycle and delivers responsive service to residents while maintaining organized records, system integrity, and audit readiness. The position requires the ability to work both independently and collaboratively in a fast-paced, compliance-driven environment.
Key Responsibilities- Lease Administration & Compliance:
Oversee all lease entry and administration processes to ensure accuracy, completeness, and compliance with company policies, regulatory requirements, and established internal controls. - Data Management & System Integrity:
Perform comprehensive data entry and account maintenance within the property management system, ensuring all resident and lease records are current, accurate, and properly documented. - Financial Accounting Statement (FAS) Oversight:
Manage the Financial Accounting Statement (FAS) process, ensuring all transactions are reviewed, processed, and reconciled in a timely and accurate manner, and in full compliance with applicable state laws and regulatory requirements. - Delinquency & Legal Process Administration:
Administer late fee notifications in accordance with state regulations and coordinate necessary legal proceedings related to delinquent accounts, ensuring adherence to statutory guidelines and company protocols. - Move-Out Coordination & Documentation:
Oversee the resident move-out process, including receipt and processing of Notices to Vacate (NTV), coordination of move-out inspections, and completion of all required documentation to ensure procedural accuracy and compliance. - Lease Renewal Administration:
Prepare and distribute lease renewal offers, monitor and track resident responses, and ensure timely execution and documentation of renewal agreements. - Cross-Functional Collaboration:
Partner effectively with the leasing team, on-site property managers, and corporate office personnel to facilitate a seamless leasing lifecycle and consistent resident experience. - Resident Account & Service Support:
Respond professionally and promptly to resident inquiries regarding lease terms, payments, account balances, service-related concerns, move-in and move-out documentation, and other account-related matters. - Records Management & Operational Support:
Maintain organized, secure, and comprehensive records and filing systems to support operational efficiency, audit readiness, and overall organizational effectiveness. - Independent & Team-Based Performance:
Demonstrate the ability to manage responsibilities independently while contributing collaboratively within a team-oriented environment.
- Relevant Industry
Experience:
Demonstrated experience as a Leasing Specialist or in a comparable role within the property management industry, with a strong understanding of leasing operations, compliance requirements, and resident account administration. - Affordable Housing Program Knowledge:
Working knowledge of affordable housing programs, including the Low-Income Housing Tax Credit (LIHTC) and HOME Investment Partnerships Program (HOME), with experience supporting compliance requirements such as income certifications, recertifications, file documentation, and regulatory reporting. - Regulatory Compliance Expertise:
Familiarity with federal, state, and local laws governing leasing practices, fair housing regulations, and affordable housing compliance standards. - Property Management Software Proficiency:
Advanced proficiency in property management platforms, specifically One Site and Yardi, with the ability to manage lease data, financial transactions, compliance documentation, and reporting functions accurately and efficiently. - Microsoft Office Proficiency:
Strong working knowledge of the Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint, with the ability to prepare reports, manage correspondence, and maintain organized documentation. - Attention to Detail & Organizational Excellence:
Exceptional attention to detail and strong organizational skills, ensuring accuracy, thorough documentation, and adherence to established processes and compliance standards. - Time Management & Multitasking Ability:
Demonstrated ability to prioritize responsibilities effectively and manage multiple tasks within a fast-paced, deadline-driven environment. - Communication
