Essential Job Functions

The incumbent of this position assists the public, and other agencies, with civil processes in person or on the phone. Provides accurate information to all inquiries and produces an efficient and effective work product. This position is responsible for the timely processing of civil work including new claims, summons renewals, garnishments, oral exams, show cause orders, motions, and other relevant paperwork via the electronic case management system.

The position includes all duties in the civil department, including secondary cashier, Domestic Violence/Peace Order, and Landlord/Tenant actions, as well as covering the civil counter

Essential Duties And Responsibilities
  • Complete processing of all paperwork in the civil dept., including but not limited to new civil claims, renewals, garnishments, oral exams, show cause orders and writs. Accept filings in File & Serve and process via MDEC. Create tasks as needed and process work in the civil queues.
  • Customer Service ? Answer customer?s questions at the counter and on the phone about civil cases and Landlord/Tenant actions; prepare invoices for cashier payments; serve as counter clerk on a rotating basis. Process paper documents such as Failure to Pay Rent actions, Warrant of Restitution, returned mail, etc.
  • Perform batch scanning of paper files into Odyssey Navigator. Create tasks to send motions, etc. to Chambers and complete those tasks once returned from chambers. Scans paper files.
  • Enter data for domestic violence & peace order cases; make copies of the temporary and final orders for the petitioner and respondent. Follow processes for ensuring service with LEA. Serve on rotating basis as DV Clerk on first floor.
  • Perform the duties of Cashier as a backup on rotating basis; operate the cash register, take customer payments, open and distribute daily mail, account for all money transactions for the court; balance cash drawer at end of day; prepare all funds for deposit; prepare daily deposit; print/review and disseminate various cash register reports.
  • Other duties as assigned.
Minimum Qualifications
  • Education:

    High school diploma (or GED equivalent).
  • Experience:

    One (1) year of work experience, preferably in court operations or in the fields of criminal justice, parole and probation, legal or financial services.
  • A Bachelor?s Degree may substitute the required work experience.
  • A Paralegal/Associates Degree or 60 college credits may substitute the required work experience.
  • A Paralegal Certificate May Substitute The Required Work Experience.
Knowledge, Skills, and Abilities Knowledge Of
  • General office practices, procedures, and equipment.
  • Standard legal forms and documents used in the Judiciary.
  • Basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division.
Skill In
  • Customer service and handling problems tactfully and patiently.
  • Typing on a personal computer.
  • Accuracy and attention to detail.
Ability To
  • Use standard office and business equipment including, but not limited to, personal computers, word processing, spreadsheets, database software, copier, microfilm machine, register, scanner, fax machine, etc.
  • Use and maintain alphabetical and numerical filing systems.

    Communicate clearly, tactfully, and effectively with judges, the public, police agencies, attorneys, and other court officials and personnel, both verbally and in writing.
  • Understand and abide by departmental rules, regulations, and procedures.
  • Exercise tact, diplomacy, and impartiality in dealing with the public, law enforcement personnel, and attorneys.
  • Follow procedures, verbal and written instructions, and protocols for any given assignment.
