We are looking for an organised and customer-focused Facilities Support Coordinator to join our Facilities Management team at our i2020 estate. This is an exciting opportunity to support the delivery of planned and reactive maintenance services across a diverse estate of approximately 150 sites throughout Northern Ireland.
As a key member of the Support Hub, you will coordinate work orders, support compliance and asset management activities, maintain accurate records, and provide excellent customer service to internal and external stakeholders.
Working within a fast‑paced environment, you will collaborate closely with operational teams, contractors, suppliers, and clients to ensure services are delivered efficiently and in line with contractual KPIs.
What you’ll do:- Manage reactive and planned maintenance work orders from initial request through to completion
- Accurately log and update service requests received via phone, email, and self‑service portals
- Monitor maintenance performance and escalates issues where necessary
- Support the delivery of Facilities Management services including maintenance, compliance, and asset management
- Maintain accurate records within CAFM, QFM, DMS, and related systems
- Produce reports on maintenance, contractor, and compliance performance
- Support contractor and supply chain management activities
- Assist with maintaining PPM schedules and asset registers
- Provide professional and responsive customer service to clients, occupiers, and contractors
- Ensure all compliance documentation is received, recorded, and maintained accurately
- Support continuous improvement initiatives within the Support Hub
- Provide general administrative support including meeting coordination and office administration
- Qualification equivalent to NVQ level or similar
- Experience working in a helpdesk, support hub, call centre, or facilities management environment
- Strong customer service, written, and verbal communication skills
- Experience coordinating contractors and supply chain partners
- Good understanding of facilities management procedures, maintenance processes, and engineering compliance best practices
- Strong IT skills including Microsoft Office, CAFM systems, work ordering systems, and document management systems
- Experience supporting compliance reporting and performance monitoring
- Ability to prioritise workloads and solve problems effectively
- Excellent attention to detail and accuracy
