Business Support Co‑ordinator

Based in Mallusk, my client is an award‑winning organisation that provides commercial vehicles throughout Northern Ireland. Due to continued growth, they are currently seeking a Business Support Co‑ordinator to join their team.

This is a Full‑time, temporary position with the opportunity of being made permanent thereafter.

Working hours:

Mon – Thurs 9am – 5:15pm & Fri 9am – 5pm.

Job Role:

As a Business Support Co‑ordinator, you will be responsible for working and engaging with internal stakeholders, partners and suppliers ensuring high levels of service and support.

Qualifications
  • Previous administration experience, preferably gained from a banking/motor industry background (though not essential).
  • Demonstrable experience of meeting deadlines.
  • IT proficiency with the use of Microsoft tools and applications.
  • Excellent communication skills both written and verbal – able to communicate with stakeholders at all levels.
  • Strong organisational, time‑management and planning skills and good attention to detail.
  • Ability to work on your own initiative as well as part of a team.
  • Ability to manage and prioritise a busy workload.
Main Duties and Responsibilities
  • Oversee the process of a vehicle order until delivery.
  • Complete finance proposals and liaise with our panel of funders, creating or requesting finance documents for the appropriate funder.
  • Oversee the return vehicles for each Business Development Manager and request extensions or arrange uplifts.
  • Check the completion of finance documents before any vehicle delivery is arranged.
  • Liaise with customers and suppliers on availability and the delivery of vehicles.
  • Process deals for pay‑out once delivered.
  • Provide administrative support to other departments/internal stakeholders within the business, including the monthly V11, V5 checks and vehicle hire.
  • Run various reports for the Business Development Managers.
  • Be the point of contact for customers while their account manager is out of the office or on leave.
  • Provide reception cover, mainly covering tea and lunch breaks, per a rota for all administrative personnel.
  • Complete any other administrative activities as specified by the manager.
