Phibro's Phibro-Tech (PTI) business unit recycles and manufacturers copper and iron-based products and recycles permitted waste primarily from the electronics industry.
The Planning, Purchasing, Data Administrative Assistant provides operational and administrative support to the planning and procurement functions within the distribution center.
The role ensures accurate data management, timely processing of purchase orders, and effective coordination between suppliers, warehouse, and internal teams to maintain efficient material flow and stock availability.
Key Responsibilities- Administrative Support – Planning & Purchasing:
- Prepare and process purchase orders (POs) in the ERP system
- Maintain and update planning and purchasing data (items, suppliers, pricing, lead times)
- Support the maintenance of inventory records and planning files
- Order & Supplier Coordination:
- Follow up with suppliers to confirm order receipt, delivery dates, and quantities
- Track purchase orders and elevate delays or discrepancies
- Support communication with suppliers regarding documentation and delivery coordination
- Assist in resolving invoice discrepancies with finance
- Inventory & Logistics Support:
- Help monitor stock levels and flag potential shortages or excess inventory
- Support coordination of inbound shipments with logistic team
- Assist in tracking inbound deliveries vs planning commitments
- Data Management & Reporting:
- Ensure accuracy and completeness of ERP data
- Prepare standard reports (stock levels, open POs, delivery status)
- Maintain organized records of orders, suppliers, and planning activities
- Support KPI tracking (e.g. supplier performance, stock accuracy)
- Operational Coordination:
- Liaise with warehouse, customer service, and planning teams for daily operations
- Support preparation of planning and purchasing reviews/meetings
- Provide administrative follow-up on action items from supply chain meetings
- Education & Experience:
- Bachelor’s degree or equivalent experience in Administration, Logistics, or Supply Chain
- 1-2 years of experience in administrative, logistics, or purchasing support role preferred
- Technical
Skills:- Experience with ERP systems (e.g. SAP, JD Edwards or similar, commonly used in your hiring context)
- Good knowledge of Microsoft Excel
- Strong data entry and data accuracy skills
- Soft Skills:

- Good communication skills (internal & external stakeholders)
