As Customer Service & Sales Administrator, you will support the commercial activities for different international markets by managing customer orders, sales administration, forecasting input, contract and tender follow-up, and daily coordination with customers and internal departments. Your key responsibilities- You receive customer orders by email, phone or via our Sales team and verify completeness before processing.
- You check products, quantities, requested delivery dates, prices and commercial conditions before order entry.
- You enter customer orders accurately and on time in the ERP system.
- You monitor open orders and follow up until delivery and invoicing.
- You inform customers and sales colleagues proactively about delays, shortages or order changes.
- You maintain and update prices, contracts, customer information and other commercial data in the system.
- You enter sales forecasts in the system based on input from the Sales team.
- You compare forecast figures with actual sales and update forecast orders where needed.
- You check allocation and compare forecast requirements with actual customer orders before processing.
- You enter and maintain intercompany prices in coordination with the Finance department.
- You support contract reviews and prepare offers together with the Sales department.
- You prepare, submit and follow up tenders and ensure deadlines are respected.
- You manage customer and commercial documentation in a structured and accurate way.
- You follow up prepayments, invoice issues and proforma invoices with Finance and Sales.
- You maintain, validate and update product availability information together with the Marketing department.
- You maintain customer master data and ensure administrative accuracy.
- You prepare sales reports and analyses, including forecast versus actual sales follow-up.
- You coordinate small courier shipments and urgent customer delivery requests.
- You have a Bachelor’s degree or equivalent through experience.
- You have previous experience in customer service, sales administration, order management or commercial support.
- You have experience in managing the end-to-end Order-to-Cash process.
- You have experience with forecasting processes.
- You have experience with ERP systems; knowledge of Sage X3 is a strong asset.
- You have a good command of Microsoft Office, especially Excel.
- You have strong administrative accuracy and attention to detail.
- You’re able to manage and prioritize multiple tasks in a fastmoving environment.
- You have strong commercial awareness and understanding of customer and business needs.
- You demonstrate integrity, honesty, trustworthiness and high ethical standards.
You’re fluent in Dutch and English;
French is a strong asset.
