We are seeking an organized and detail-oriented Bid & Procurement Coordinator to support the company’s bidding, tendering, procurement, and administrative processes.
This role supports the procurement process from opportunity identification through bid submission, working closely with the Procurement Specialist, estimating, project management, operations, insurance/bonding contacts, and internal team members.
The successful candidate will be responsible for monitoring bidding opportunities, reviewing tender requirements, coordinating bid documents, preparing compliant submissions, maintaining procurement records, and completing related administrative tasks.
Responsibilities:Bid & Tender Coordination:
- Monitor procurement websites, tender portals, and other sources to identify bidding opportunities
- Review tender documents, drawings, specifications, addenda, submission requirements, and deadlines
- Prepare bid summaries, submission checklists, compliance matrices, and tender review notes
- Coordinate bid/no-bid meetings and support internal tender review discussions
- Track procurement schedules, closing dates, site meetings, question deadlines, addenda, and submission requirements
- Issue addenda notifications and help ensure updated documents are shared with the appropriate internal team members
- Submit bids through online portals, email, courier, or other required submission methods
- Help ensure bid documents are complete, organized, accurate, and submitted on time
- Track quotation requests, pricing submissions, and outstanding information as required
- Maintain bidder lists, vendor records, procurement files, and tender tracking systems
- Coordinate document distribution to appropriate internal team members and external contacts as required
- Support communication with internal teams, insurance/bonding contacts, suppliers, vendors, consultants, and customers as needed
- Assist with maintaining procurement calendars, bid logs, opportunity trackers, and reporting tools
- Help ensure procurement records are complete, current, and organized
- Prepare and coordinate bid bond requests
- Coordinate requests for performance bonds, labour and material payment bonds, and other bonding documents as required
- Request certificates of insurance and related insurance documentation
- Liaise with insurance brokers, bonding contacts, and internal team members as needed
- Identify mandatory tender requirements, forms, declarations, schedules, attachments, and supporting documents
- Support the review and organization of tender requirements, insurance requirements, bonding requirements, and submission conditions
- Create and maintain project folders after award
- Organize awarded tender documents, contracts, drawings, specifications, addenda, pricing information, and submission records
- Coordinate administrative handoff documents for internal teams as required
- Maintain procurement records, project records, vendor databases, and related administrative files
- Generate procurement reports, tracking updates, and other administrative summaries as required
Qualifications:
- Previous experience in construction procurement, bidding, tendering, project administration, estimating administration, or a related administrative role is considered an asset
- Knowledge of public procurement processes, tendering requirements, and construction submissions is considered an asset
- Experience reviewing construction tender documents, drawings, specifications, and submission requirements is considered an asset
- Strong proficiency with Microsoft Office, including Outlook, Word, Excel, and PDF/document management tools
- Experience with online procurement portals and tender submission platforms is considered an asset
- Strong written communication skills and attention to detail
- Strong organizational and time-management skills, with the ability to manage multiple deadlines at the same time
- Ability to work in a deadline-driven environment and maintain accuracy under time-sensitive conditions
- Ability to communicate professionally with internal teams and external contacts
