Volunteer Services Coordinator Position Summary and Details

Position Summary: The Patient/Family Volunteer Services Coordinator is responsible for assisting in the recruitment, training, processing background checks, and maintaining electronic records of all volunteers. The Coordinator helps ensure all regulatory volunteer needs are met in the community and meets the patient & family needs of Hospice of Southern Illinois.

  • Pay: $18.83 Hourly. Full-Time Non-Exempt Position
  • Schedule: Monday‑Friday 8:30 AM‑5:00 PM with occasional evenings or weekends for events such as volunteer recognition dinners or community functions.
  • Location: Based out of the Belleville, IL Patient Services Office, but also required to visit the Marion, IL Patient Services Office. This position has access to use the Company Vehicle for company related business. If the company car is not available, mileage reimbursement of $0.70 per mile for driving a personal vehicle applies.

Essential Functions

Provides exceptional customer support to all stakeholders and makes a positive impact on interdisciplinary and community teams.

Demonstrates the ability to work independently and self‑prioritize through strong organizational and time‑management skills.

Collaborates, coordinates, and leads volunteer training programs and volunteer team meetings.

Assists with and attends functions supported by Hospice of Southern Illinois, Inc. (i.e., Annual Volunteer Recognition Dinner, fundraising activities, and special events).

Through proactive practices, ensures creative, quality, continuous, ongoing, scheduled volunteer activities and builds positive relationships with volunteers to break down barriers and ensure collaboration, striving to maintain an accurate active list of volunteers.

Ensures all Hospice of Southern Illinois Volunteers are equally offered the opportunity to participate and to share their skills, as appropriate.

Cooperates with the Volunteer Services Team in writing, assembling, approvals, and dissemination of the Volunteer newsletter.

Develops spreadsheets, databases, and utilizes computer data entry skills to meet organizational and reporting tasks.

Processes background checks and initiates fingerprinting process for volunteers through the human resources department in a timely manner. Ensures volunteers are in good standing through the Illinois Department of Public Health and Office of the Inspector General checks. Keeps accurate records of volunteer activities to ensure the organization meets the 5% volunteer service requirement.

Self‑prioritizes continuous Volunteer Department duties and responsibilities in the absence of the immediate supervisor.

Collaborates and builds positive relationships with volunteers, willing and able to jump in and roll‑up their sleeves to motivate participation and to lead by example.

Assists the Volunteer Services Supervisor in the assessment process of volunteers, ensuring all annual appraisals and background checks are completed timely.

Conducts assigned training for Special Hospice Volunteer Programs (Jr. Volunteers, Bereavement Volunteers, Vigilance Volunteers, Spirituality Support, etc.), ensuring records are up‑to‑date on all annual training.

Proactively seeks out volunteer opportunities to enhance the mission of Hospice of Southern Illinois. Continuously enhances knowledge of required volunteer competencies. Actively participates in meetings and in‑services as directed by supervisor, ensuring assigned Relias education is completed timely. Gains knowledge of additional programs Volunteers might participate in (We Honor Veterans Program, Hospice Initiative Volunteers).

Works with patients, families, clinical staff, and community partners to positively enhance the organization’s mission, displaying a high level of empathy, emotional intelligence, and professionalism. Demonstrates flexibility, adaptability, and ethical boundaries. Supports, demonstrates, and celebrates evidence of Hospice of Southern Illinois core values in daily practices. Manages Paid Time Off appropriately.
