We are actively recruiting an Executive Assistant to the COO/CCO of our firm. The person who earns this position will demonstrate:
- ability to build and maintain strong professional relationships while upholding the highest levels of integrity, discretion and sound judgement
- a proven track record of taking initiative and proactively anticipating needs in a fast-paced environment
- a strong desire to provide enthusiastic team support
- the ability to proactively engage in the details and be very organized
- 1-2 years’ experience in the financial industry
- 2-5 years in an Executive Assistant or comparable support role
- HS Diploma
- Bachelor’s degree in business or related field (preferred, but not required)
- Office software systems, such as the MS Office Suite
- Industry Licensing experience (preferred, but not required)
- HR experience (preferred, but not required)
- Professional written and oral communication skills
- Event planning (preferred, but not required)
- Desire to serve the team for success
- Organized, with an obsession for the details
- Self-starter
- Systems thinker
- Adaptability, flexibility, patience
- Manages logistics for the COO/CCO to include, but not limited to, calendars, meetings, time management, and “gate keeping”
- Assists with compliance tasks to ensure all required documentation is current and in order
- Assists with licensing and credentials to include all licenses and continuing education as required
- HR support to include tasks, updating employee data/information, and onboarding/offboarding
- Assists with accounting tasks as necessary
- Prepares reports for COO/CCO as necessary
- Acts as a liaison between firm and its IT consultants
- Actively participates in periodic internal and external events
- Assists and collaborates with team as necessary
- Participates in the development, documentation, and implementation of Departmental Policies and Procedures
