Document Scanning Technician

We are seeking a Document Scanning Technician who thrives in a fast paced production environment and takes pride in accuracy, quality, and efficiency. If you enjoy hands‑on work, organizing information, and supporting a mission‑driven team, this role may be a great fit.

Key Responsibilities- Receive, evaluate, and determine the prep level of incoming documents.
- Recommend file naming conventions and folder structures based on client needs.
- Prepare documents for scanning by removing staples, bindings, sticky notes, and other materials.
- Create document indexes to support meaningful digital organization.
- Scan small and large-format documents using a variety of production scanners.
- Process scanned files to meet client requirements (quality, file size, OCR/text-searchable, etc.).
- Perform quality control checks to ensure completeness and legibility.
- Deliver final digital files to clients via upload link, USB, or other methods.
- Maintain an organized, efficient, and visually productive workspace.
- Work overtime when needed to meet deadlines.
- Assist other departments as required.
- Support customer service by answering phones and taking messages when needed.
- Strong communication skills with customers and coworkers.
- Working knowledge of Acrobat, Bluebeam, or similar PDF tools.
- Familiarity with Microsoft Outlook, Excel, and Word.
- Tech-savvy and comfortable learning new software with minimal training.
- Ability to lift up to 40 lbs unassisted and stand for up to an hour.
- Excellent attention to detail and the ability to multitask without sacrificing accuracy.
- A proactive, can do attitude and a desire to continuously improve processes and skills.
- High school diploma or equivalent.
- 1–2 years of experience in scanning, document handling, reprographics, or printing.
- 1–2 years of experience in data entry, file handling, or document management.
