Responsibilities Administrative Support
  • Provide direct support to the VP of Operations Division, VP of Supply Chain Division, and the Chief of Staff, as well as Executive Assistants on the administrative team.
  • Assist executives through general assistance and organizational support to include day-to-day interaction and facilitation of internal and external requests.
  • Manage and coordinate executives’ schedules by planning and scheduling meetings, conferences, teleconferences, prioritizing functions, and appointments, ensuring that meetings, deadlines, presentations, and logistics are handled seamlessly.
  • Serve as the liaison between internal and external stakeholders by facilitating communications, planning events, distributing information, drafting agendas, and scheduling meetings.
  • Develop agendas, track and capture action items for pre‑planning meetings and post‑meeting action(s).
Editing/Proofreading Compliance
  • Perform preparation and/or technical editing and proofreading of documents and Power Points.
  • Proofread for use of proper trademarks, markings, and templates.
  • Proofread for errors and consistency in communications and presentations.
  • Support Executive Assistants in ensuring presentations have gone through the Public Release Procedure.
  • Assist with prerequisites for adding department training to the Learning Management System (LMS).
  • Assist with updates to organization charts.
Travel
  • Coordinate and book all travel for executives, including completing expense reports.
  • Support travel logistics, including travel packets, group travel itineraries, and background information on meeting participants.
  • Facilitate quarterly new employee travel training, including updating documents.
Communications
  • Assist with internal communications.
  • Assist in supporting both in‑person and hybrid meetings and events.
  • Serve as primary point of contact for executives to handle correspondence, both internal and external communications, including confidential/sensitive items.
Key Qualifications and Skills
  • 5 years executive administrative support experience.
  • Highly skilled in using various video conference tools, such as Teams and Zoom.
  • High proficiency in oral and written communication.
  • High proficiency in Microsoft Suite – including Outlook, Word, Excel, Visio, PowerPoint.
  • Proficient technical editing.
  • Proficiency in Atlassian Tools (Jira and Confluence) a plus.
  • Grammatical editing and proofreading skills.
  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Demonstrate a strong bias for action and anticipate potential needs.
  • High level of professionalism and integrity.
  • Strong attention to detail and a commitment to accuracy.
  • Ability to handle confidential information with discretion and professionalism.
  • Ability to problem‑solve and multitask.
  • The successful candidate will possess a high degree of trust and integrity, communicate openly, and display respect and a desire to foster teamwork.
