Executive Assistant
We are seeking an Executive Assistant to support our Founder and CEO. The ideal candidate is a highly professional, resourceful individual with exceptional judgment and a proven ability to build a trusted partnership with a multi-faceted executive. This role requires strong organizational skills, proactive problem-solving, and the ability to anticipate needs, manage competing priorities, and operate with the highest level of integrity and confidentiality.
Demonstrated commitment to excellence, flexibility as well as poise, confidence and the ability to interface with senior internal and external stakeholders and co-workers in a professional, approachable, and positive manner is a must.
Responsibilities:
- Provide high level administrative support to IV's Founder and CEO
- Keep Executive and Executive Leadership Team apprised of calendar, action items, messages and relevant business issues, both internal and external
- Make appropriate, informed decisions regarding Executive's available time
- Screen incoming calls and correspondence to determine priority and respond appropriately
- Use sound judgment when processing email and other communications; may compose messages/replies on behalf of the executive's office
- Coordinate complex domestic and international travel
- Create and format documents including letters, trip reports, itineraries, and other related documents
- Manage confidential business matters, internal communications, and files
- Act as a liaison between the executive and external groups
- Manage projects and tasks at CEO's residence
Key Qualifications and Required Skills:
- 10+ years executive administrative experience supporting C-level executives, preferably in a complex environment
- Experience with in a family office structure and managing private travel is preferred
- Bachelors degree preferred
- Advanced skills and experience in MS Word, Excel, and Outlook is required
- Excellent grammatical, editing and proofreading skills required
- Exceptional interpersonal, verbal, written and cross-cultural communication skills
- Must be detail-oriented, and able to develop and maintain highly organized work environment
- Demonstrated capabilities in making solid business decisions, problem-solving, and multi-tasking in a highly dynamic and fast paced business environment
- Proven ability to exercise a high degree of confidentiality and objectivity
- Ability to work in a team setting and conduct and present oneself in a highly professional manner with both internal and external clients and personnel
- Proven ability to set priorities and work independently with little or no supervision
- Ability to receive and provide constructive feedback
