Job DescriptionPOSITION OBJECTIVE:
The position of Teaching and Learning Categorical Program Support Coordinator provides comprehensive administrative, operational, and systems support for the Teaching & Learning Department, with a primary focus on Advanced Learning and Multilingual Learning programs.

DUTIES & RESPONSIBILITIES- Serves as a primary point of contact for families and staff.
- Ensures equitable access to programs and services.
- Provides administrative and operational support for Advanced Learning and Multilingual Learning programs.
- Coordinates department activities, meetings, trainings, events, and family engagement opportunities.
- Assists with student identification, enrollment, placement, and program records management.
- Supports assessment and screening processes associated with Advanced Learning and Multilingual Learning programs.
- Maintains department procedures, operational manuals, and program documentation.
- Coordinates cross-department collaboration and communication to support district initiatives.
- Responds to inquiries from students, families, staff, and community members in a timely, professional, and culturally responsive manner.
- Develops and maintains communication materials, newsletters, websites, forms, and other resources.
- Assists with translation and interpretation coordination to ensure meaningful access for multilingual families.
- Supports family outreach and engagement efforts designed to increase awareness and access to district programs.
- Provides clear explanations of program guidelines, processes, policies, and timelines.
- Passion for improving access, equity, and service for students and families.
- Evaluates existing office and program systems and recommends improvements to increase efficiency, consistency, customer service, and program accessibility.
- Demonstrates a commitment to continuous improvement by identifying opportunities to streamline processes and enhance services.
- Leads or assists with digitalization of department processes, records, forms, and workflows.
- Develops and maintains electronic databases, dashboards, reports, forms, and tracking systems.
- Utilizes technology tools to streamline operational processes and reduce manual work.
- Supports implementation of new technologies and trains staff on department procedures and systems as needed.
- Maintains data integrity across multiple information systems.
- Collects, maintains, verifies, and analyzes program data.
- Prepares reports for district leadership, state reporting requirements, grant reporting, and program evaluation purposes.
- Monitors compliance with state and federal requirements related to Advanced Learning and Multilingual Learning programs.
- Ensures confidentiality and appropriate handling of student and staff information.
- Supports audit preparation and program documentation requirements.
- Assists with departmental budgets, purchase orders, invoices, contracts, reimbursements, and financial tracking.
- Coordinates ordering, inventory, distribution, and management of instructional materials and supplies.
- Maintains financial and program records in accordance with district procedures.
- Provides support during peak workload periods and special projects.
- May coordinate the work of temporary staff, interpreters, proctors, or student workers.
- Performs other job-related duties as assigned.
- Reports to and is directly supervised by assigned administrator.
- High school diploma or equivalent.
- Minimum three years of increasingly responsible administrative, office management, program coordination, or operational support experience.
- Experience working with databases, spreadsheets, reporting systems, and digital record management.
- Associate's degree in business, communications, public administration, education, or related field.
- Experience supporting educational programs within a school district.
- Experience supporting multilingual communities.
- Bilingual/Biliterate in English and an additional language, preferably Spanish or Chinese (Mandarin and/or Cantonese).
- Experience with process improvement, systems implementation, or digital transformation projects.
