Administrative Assistant II

The position Administrative Assistant II is responsible to provide administrative secretarial support such as coordinating a variety of arrangements, serving as liaison with internal and external customers, composing and creating correspondence and reports, maintaining and monitoring financial and program records, providing specialized program information, answering phones and resolving problems, and performing skilled word processing and data entry.

Duties and responsibilities include providing secretarial support to one or multiple administrators and programs; performing skilled word processing, data entry and desktop publishing; maintaining calendars; scheduling meetings. Answering telephones and assisting visitors; serving as liaison and providing a variety of customer service, public relations and collaboration with the public, district staff and other agencies; answering inquiries, and providing a variety of specialized program information.

Maintaining a variety of records, files, operational manuals, catalogs and other materials; developing and maintaining a variety of publications, forms and processes; maintaining and monitoring financial and program records, including budgets, purchase orders and compliance reports. Coordinating a variety of meetings, arrangements, activities and services; responding appropriately to urgent situations and notifying administrator of emergencies. Composing and creating correspondence and reports;

compiling and formatting information; creating and maintaining spreadsheets and databases; preparing, processing and distributing a variety of materials. Performing special projects, such as designing reports, spreadsheets and databases or gathering materials for researching issues; analyzing data and developing project summaries. Providing back-up and peak-load assistance to office staff.

Reporting relationship is to and is directly supervised by assigned administrator. Education and experience typically require high school graduation or equivalent with training in secretarial skills, and three years of increasingly-responsible secretarial experience. Licensing requirements are none.

Knowledge requirements include policies, procedures and regulations related to assigned program; vocabulary and terms employed in area of assignment; general office machines; word processing and database software; correct grammar, spelling and English usage.

Skills requirements include customer service and interaction with key internal and external customers; tact and diplomacy; effective oral and written communication; problem-solving; scheduling and coordinating meetings and activities; exercising independent judgment; composing correspondence and reports; accurate word processing and data input; telephone etiquette; ability to perform all duties in accordance with applicable Board policies and district and legal requirements; ability to meet and maintain punctuality and attendance expectations;

ability to design, create, and analyze reports, spreadsheets and databases; ability to diffuse irate and hostile individuals; ability to organize work to meet deadlines; ability to research files and records; ability to interpret program guidelines; ability to perform multiple tasks and projects concurrently; ability to operate a multi-line phone system; ability to maintain confidentiality; ability to maintain accurate files and records;

ability to handle urgent or emergency situations appropriately; ability to maintain calendars and schedule meetings; ability to track budgets and prepare fiscal-related documents; ability to work effectively with individuals having diverse needs. Mental demands include meeting strict deadlines, experiencing interruptions to concentration, working with individuals having diverse needs, answering calls from frustrated, demanding or difficult individuals, working independently, performing multiple critical tasks and projects concurrently.
