Position OverviewWe are seeking an engaging and detail-oriented Assistant Director of Admissions to join our Admissions team. This full‑time, 12‑month position supports all aspects of the admissions process, from inquiry through enrollment. As a key member of a dynamic and collaborative team, this role plays an important part in recruiting, evaluating, and welcoming a mission-aligned group of students and families each year.

The Assistant Director participates in all aspects of the admissions process from inquiry to enrollment. This role is well‑suited for an admissions professional who is ready to expand their skills and take on meaningful responsibility as they continue to develop in their career. The right candidate believes deeply in Open Window School’s mission to nurture and inspire students of high intellectual potential, and can manage multiple priorities in a busy admissions office, work closely with colleagues who care about each other and the families they serve, and find real satisfaction in helping families find the right school for their child.
MajorAreas of Responsibility
- Demonstrate a clear understanding of the mission of Open Window School and be an advocate for Open Window while supporting the school and its leadership.
- Work to honor and uphold the principles and goals of diversity, equity, inclusion, and belonging in the best interest of prospective students and families, current students and families, and staff.
- Read and evaluate applicant files and contribute to admissions discussions and decision‑making.
- Manage the application portal and applicant records; ensure applicant files are complete and accurate, with detailed notes maintained throughout the process.
- Accurately track applicant data from inquiry through enrollment to ensure the integrity of data for incoming inquiries and applications.
- Manage re‑enrollment contracts.
- Track and analyze admissions metrics; create reports and updates to support the Director of Enrollment Management and school leadership as needed.
- Provide administrative support for the Director of Enrollment Management.
- Manage responses to admissions emails and phone calls.
- Coordinate and track all admissions‑related events, including campus tours and admissions appointments with prospective students and families; assist with hosting applicants and campus tours.
- Share the school’s story with enthusiasm and tailor messages to specific audiences.
- Manage the onboarding process for newly enrolled families from acceptance through the first day of school.
- Represent the admissions office to faculty and staff.
- Perform other duties and responsibilities as assigned.
- Three or more years of admission‑related experience preferred.
- Knowledge of or experience with gifted education is a plus.
- Excellent written and verbal skills.
- Strong computer skills and proficient user of Microsoft Office. Proficiency in Ravenna Admit and Blackbaud preferred but not required, along with a willingness to learn and help build the school’s platform in new systems as they are adopted.
- Discretion and professional handling of sensitive and confidential information.
- Bachelor’s Degree and/or relevant experience.
