Role Overview
This role will support the full‑cycle management of the leave administration processes including parental, FMLA, medical, personal leave, L&I leave, accommodation, and disability leave from initial notice of the need for a leave to the return to work. You will partner closely with the Payroll, HR, and third‑party vendor to administer the programs, provide employee education, and support employees with benefit utilization.
Responsibilities- Support employees with leave requests and ensure understanding of eligibility, documentation, and leave schedules.
- Oversee tracking, documentation, and timely responses for active leaves of absence and incoming requests.
- Work closely with employee managers to support employees who go on leave.
- Field and answer all leave‑related questions regarding state and federal regulations and healthcare providers.
- Arrange approval of employee leaves and project codes to properly track in the system of record according to the leave types.
- Lead as subject‑matter expert on all aspects of state and federal leave mandates, company leave policies, and benefits.
- Continue development of leave management and compliance knowledge; stay current with changes in leave regulations and update company policy, procedures, and guidelines.
- Evaluate, update, and develop leave‑related policies and forms, documents, or communications in compliance with company policy and state, local, and federal law.
- Coordinate with the Payroll team to ensure pay and use of PTO (or other leave codes) reflects the actual leave schedule and collaborate on true‑up and reconciliation when the employee returns to work.
- Minimum of a four‑year BA/BS degree in General Business, Finance, or HR.
- Three to five years of benefits and leave administration experience including FMLA, health, disability, life, and 401(k) as well as ancillary benefits.
- Customer‑service oriented in a high‑growth, high‑touch organization.
- Strong accuracy, time‑management, and timely follow‑up.
- Proficiency with Microsoft Excel and ability to quickly adapt to other finance and accounting systems (ADP, Netsuite, Oracle Enterprise Cloud).
- Working knowledge of payroll systems; experience with ADP preferred.
- Highly organized and detail‑oriented; high degree of accuracy.
- Ability to multi‑task and handle benefits projects and ad‑hoc requests accurately and timely.
