Executive Assistant (Administrative)

Habitat for Humanity of Greater Los Angeles has been an active affiliate of Habitat for Humanity International for more than 30 years. By building and preserving affordable housing through new construction, renovations, and home repairs, Habitat LA is transforming communities throughout Los Angeles County. Through access to affordable loans, housing counseling, down-payment assistance, skilled construction training, financial education, and volunteer opportunities the organization has strengthened families, helped stabilize communities, and fostered economic vitality in the region.

On average, the affiliate builds and renovates 100 homes in the Los Angeles region each year, ranking it among the largest affiliates nationwide.

The Executive Assistant provides high-level, confidential administrative and strategic support to the President & CEO, ensuring efficient daily operations and enabling focus on organizational priorities. This role serves as a key partner to executive leadership, requiring strong judgment, exceptional communication skills, and the ability to manage competing priorities, sensitive information, and cross-functional initiatives. The ideal candidate is proactive, highly organized, and experienced in executive support, board relations, and stakeholder engagement within a fast-paced environment.

President

& CEO Support
  • Provide high-level executive support focused on calendar management, communication, and strategic prioritization
  • Manage and prioritize the CEO's calendar, including scheduling, travel, and logistics
  • Serve as a liaison for internal and external stakeholders
  • Draft and manage correspondence, presentations, and communications on behalf of the CEO
  • Screen communications and ensure timely follow-up
  • Conduct research and prepare materials to support meetings and decision‑making
  • Handle confidential information with discretion
  • Prepare agendas, briefing materials, and talking points for meetings
  • Track follow‑ups and ensure completion of key action items
Executive Leadership & Board Support
  • Provide administrative and coordination support to the Chief of Staff, Executive Team and Senior Leadership
  • Prepare agendas, materials, and presentations for SLT and board meetings
  • Take and distribute meeting minutes, capturing key decisions and action items
  • Track follow‑ups and reinforce accountability across leadership
  • Support coordination of executive‑level meetings and initiatives
Donor & Stakeholder Engagement Support
  • Support donor relations and external engagement efforts
  • Interface professionally with donors, board members, and key partners
  • Assist with donor stewardship activities, communications, and meeting coordination
  • Maintain and update donor data in CRM systems (e.g., Salesforce)
  • Prepare materials for fundraising campaigns and donor engagement
Project & Initiative Management / Special Projects
  • Support execution and tracking of organizational priorities and special initiatives
  • Monitor progress on key initiatives (ReBUILD LA, events, strategic projects)
  • Follow up with internal leaders on deliverables, timelines, and commitments
  • Facilitate cross‑functional alignment and communication to move projects forward
  • Assist with planning and execution of special projects and events
  • 3-5 years of experience supporting senior executives (C-suite preferred)
  • Strong organizational and time management skills with the ability to handle multiple priorities
  • Excellent written and verbal communication skills, including drafting correspondence and presentations
  • High level of discretion and ability to handle confidential information
