Southern California-based commercial construction and development company Howard CDM is seeking an experienced, reliable, and team-oriented Estimating Coordinator to join our growing team.
The Estimating Coordinator supports the Preconstruction and Estimating Department throughout the bidding and preconstruction process. This position is responsible for coordinating bid opportunities, maintaining bid documentation and schedules, communicating with subcontractors and vendors, assisting with bid preparation, and providing technical and administrative support to the estimating team.
The ideal candidate is highly organized, detail-oriented, comfortable working in a fast-paced construction environment, and has prior experience with construction bidding and subcontractor coordination. Responsibilities Estimating & Bid Coordination- Provide administrative and coordination support to the Preconstruction and Estimating Department.
- Research new bid opportunities and maintain and update the bid list.
- Maintain the Job Walk Calendar, Bid Calendar, and Project Tracker.
- Assign proposal numbers to new bid opportunities.
- Secure and organize bid documents, plans, specifications, and project information.
- Create and maintain proposal folders, ensuring current plans, specifications, addenda, and other bid documents are properly organized.
- Read, interpret, and understand contract drawings and specifications, project manuals, and bid package information.
- Assist in the preparation of project estimates, requests for proposals, and budgets.
- Prepare bid forms and associated documents required for bid submissions.
- Finalize and distribute formal post-bid reports.
- Provide technical assistance to Estimators, including analysis of drawings/specifications and preparing accurate material quantity takeoffs.
- Assist with project-specific and general prequalification questionnaires.
- Assist with the initial planning and scheduling of construction projects, including preparation of schedules and identification of major work items.
- Solicit subcontractor pricing and participation for active bid opportunities.
- Conduct outreach for MBE, WMBE, and DVBE participation as required.
- Maintain and update the subcontractor database.
- Source qualified subcontractors and vendors and add them to the company database.
- Develop and maintain positive working relationships with subcontractors and vendors.
- Communicate with subcontractors by phone and email regarding bid opportunities, project information, deadlines, and participation.
- Coordinate subcontractor outreach opportunities, including meet-and-greets and lunch-and-learns.
- Assist the estimating team with obtaining adequate subcontractor coverage for active bids.
- Maintain employee resumes and project/job information sheets.
- Assist with the development and implementation of marketing materials as needed.
- Keep the Director of Preconstruction & Estimating and estimating team informed of bid status, outstanding items, and issues that may impact deadlines.
- Maintain organized and accurate estimating records and documentation.
- Provide additional administrative and estimating support as assigned.
- 2–3 years of experience in construction estimating, preconstruction, bid coordination, or a related construction role.
- Previous experience supporting commercial construction estimating or bidding is strongly preferred.
- Proficiency with Microsoft Office, including Outlook, Word, and Excel.
- Experience with Bluebeam and/or construction bidding software preferred.
- Ability to read and navigate construction drawings, specifications, project manuals, and bid documents.
- Experience performing or assisting with material quantity takeoffs preferred.
