About the Position

The Program Assistant will play a key role in weaving programmatic offerings together that support community and academic partnerships. Specifically, this position will coordinate activities, resources, communications, and associated administrative tasks. The Program Assistant will work with a diverse network of external parties including participants from Indigenous communities, community organizations, academic institutions, and NGOs, as well as provide support for externally funded research at WWU.

This is a temporary position, working approximately 19-20 hours per week. Position ends no later than February 1, 2028.

Required Qualifications
  • High school diploma or equivalent AND two years of clerical, office, or administrative experience or equivalent education/experience.
  • Demonstrated ability to work collaboratively.
  • Ability to effectively serve a diverse staff, student, and faculty community.
  • Excellent verbal, written, and interpersonal skills.
  • A demonstrated ability to independently generate correspondence of a professional quality and to professionally communicate with a diverse set of people (i.e., students, faculty, community leaders, professionals, scholars).
  • Proficiency with Microsoft Office Suite and experience producing tables/charts/graphs, forms, labels, and correspondence with emphasis upon accuracy and appearance of output.
  • Demonstrated ability to work independently and multitask while managing time effectively and meeting deadlines.
  • Demonstrated ability to proactively identify workflow processes and complete relevant administrative tasks related to project coordination.
Preferred Qualifications
  • Undergraduate degree.
  • Familiarity with academic settings; ability to work across centers, institutes, departments, colleges, and the campus community.
  • Experience working with Indigenous communities and/or community-based organizations.
  • Prior successful experience organizing in-person and virtual meetings.
  • Knowledge of basic WWU systems, such as e‑sign forms, reservation procedures, etc.
  • Experience with Banner, Web4U, CANVAS/InDesign or similar.
Conditions of Employment

Salary: $20.69/hr – $27.54/hr depending on qualifications and experience.

Bargaining Unit:
Temporary. This position is covered by a Washington Federation of State Employees bargaining union. New employees are eligible for membership under the current collective bargaining agreement at 350 hours of employment.

All new employees must also comply with the immunization policy and show employment eligibility verification as required by the U.S. Citizenship and Immigration Services before beginning work at WWU. A thorough background check will be conducted on all new hires, including a sexual misconduct background check.
