The Project Administrator is a full-time, on-site role based in Bellingham, WA. This position supports project managers and field teams by coordinating project documentation, maintaining organized records, and assisting with scheduling and logistics. Day-to-day responsibilities include preparing and managing contracts, submittals, RFIs, change orders, meeting minutes, and progress reports in alignment with company standards. The Project Administrator will communicate with subcontractors, suppliers, and clients, track project milestones, and help ensure compliance with safety and quality requirements.
The role also involves basic cost tracking, data entry, and assisting with project closeout documentation to support smooth, timely completion of work.
- Project administration and coordination skills, including organizing documentation, tracking deadlines, and supporting multiple projects simultaneously.
- Strong communication and interpersonal skills for collaborating with project managers, field teams, subcontractors, suppliers, and clients.
- Proficiency with office and project management software (e.g., Microsoft Office Suite; exposure to construction management platforms is a plus).
- Attention to detail and accuracy in data entry, recordkeeping, and preparation of project reports and documents.
- Basic understanding of construction processes, terminology, and documentation (experience in commercial or infrastructure projects preferred).
- Ability to prioritize tasks, manage time effectively, and work in a fast-paced, deadline-driven environment.

- High school diploma or equivalent required; associate or bachelor’s degree in construction management, business, or a related field is preferred.
- Previous experience in a construction or engineering office environment is highly beneficial.
Wage range will be an hourly rate of $30-$35, depending on experience.
