Position SummaryWe are seeking a dependable, detail‑oriented Part‑Time Office Manager to support day‑to‑day office operations, administrative processes, and basic bookkeeping/vendor coordination. This role keeps the office running smoothly by managing supplies, schedules, records, and communications, while providing excellent service to employees, customers, and partners.

- Serve as the first point of contact for office visitors, phone calls, and general inquiries; route messages appropriately.
- Maintain office supplies, kitchen/breakroom items, and general tidiness; coordinate maintenance and repairs as needed.
- Coordinate vendors and service providers (e.g., janitorial, IT, utilities, postage/shipping) and track service schedules.
- Manage incoming/outgoing mail, shipping, and deliveries; maintain distribution lists and contact directories, process post office mailings and bank deposits as needed.
- Schedule meetings, maintain shared calendars, and support basic event planning for two Bellingham locations (team meetings, trainings, small office events).
- Travel arrangements for out of town guests and coordination of long‑term and recurring stay rates.
- Maintain organized digital and physical filing systems; support document control, record retention, and confidentiality practices.
- Prepare basic correspondence, memos, and reports; proofread and format documents as needed.
- Support HR/admin tasks such as onboarding coordination, badge/keys, and maintaining employee paperwork (as applicable).
- Assist with administration of business registrations.
- Track office‑related budgets and recurring expenses; identify opportunities to streamline processes and reduce costs.
- Support leadership and staff with ad hoc administrative projects and process improvements.
- 4+ years of administrative, office management, or operations support experience (or equivalent combination of education and experience).
- Proficiency with Microsoft 365 (Outlook, Word, Excel, Teams); comfort learning new software and office systems.
- Strong organizational skills and attention to detail; ability to manage multiple priorities with minimal supervision.
- Professional communication skills (written and verbal) and a customer‑service mindset.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Ability to lift/move office supplies (up 30lbs) as needed.
- Experience with business registrations, census and similar government reporting.
