OpportunityActing as the first point‑of‑contact to all guests and callers, the Receptionist greets and assists clients and the public with courtesy, consideration and professionalism. The role includes handling incoming and outgoing mail, faxes, and general office duties while furnishing clerical support for agency staff.
Duties & Responsibilities- Answer telephones, give information, take messages, and transfer calls to appropriate individuals.
- Greet visitors or callers and direct inquiries to the appropriate persons.
- Open, read, route, and distribute incoming mail, including scanning, coding, and indexing as necessary.
- Process outgoing mail as required.
- Schedule and confirm appointments for clients, customers, or supervisors.
- Provide administrative support across all departments: printing, filing, photocopying, data entry, scanning, binding, collating, downloading reports, and mail distribution.
- Assist with data entry, reports, numbers, and other duties as assigned.
- Perform additional duties and projects as assigned.
- High School Diploma or GED required.
- Effectively and professionally communicate orally and in writing with internal and external customers.
- Present information and respond to questions from managers, clients, customers, and the general public.
- Interact confidently with all levels within the organization.
- Respond to customer needs, solicit feedback, and handle difficult or emotional situations promptly and accurately.
- Gather pertinent information, analyze and solve problems efficiently.
- Prioritize and organize multiple tasks and responsibilities to meet deadlines with optimal accuracy.
- Understand administrative and office procedures and systems (word processing, file management, form design).
- Proficiency with Microsoft Office Suite and Outlook.
Position primarily involves working at a stationary desk for most of the day while communicating with colleagues and clients in person and on the telephone. Requires use of computer and office machinery, occasional movement to access file cabinets, and maintaining a consistent work pace with punctuality.
CompensationExpected salary range: $18–$20 per hour, depending on geographic location, experience, and position scope.
