Duties & Responsibilities

The Event Manager position is responsible for managing events and clientele within the Office of Strategic Venues & Event Services.

  • Serve as the turn‑key liaison for managing client relationships for scheduled events hosted on the Belmont University campus, performing advanced event preparation, conducting facility walk‑throughs, and communicating event needs to OSVES staff and university campus partners. Serve as Manager on Duty for assigned campus events.
  • Assist with student workers and student employment program development.
  • Prepare contracts and event estimates for clients, securing event contracts including lease agreements, usage policies, expense estimates, house policies, certificates of insurance, and deposit payments.
  • Coordinate and schedule front‑of‑house staffing for campus events, including house managers, ushers, vendor ushers, emergency medical services, security, and housekeeping.
  • Maintain client account and database, accurate billing information for each event, and vendor invoice verification. Coordinate with Business Operations & Finance Specialist to ensure client invoices are received and paid.
  • Assist in the development and distribution of materials related to coordination, execution, sales, or operations. Conduct accurate research and concisely summarize information.

  • Exceptional oral and written communication skills.
  • Knowledge or ability to learn room‑scheduling software such as EMS.
  • Availability to work flexibly to cover nights, weekends, and/or holidays as needed.
  • Strong working knowledge of Microsoft Office, especially Word, Excel, and Outlook.
  • Experience working in a fast‑paced environment and the ability to respond to high‑pressure situations; ability to thrive in an environment of hard work.
  • Ability to work effectively with a wide range of constituencies in a diverse community.
Required Education

Bachelor’s degree with coursework in business, finance, communications, hospitality management, sports administration, performing arts, or equivalent experience 2:1.

Required Experience

One year experience in arena, theater, convention center or hospitality operations/sales. Equivalent education may be substituted.
