Job Description

The Order Processing Specialist serves as the primary point of contact between customers and the manufacturing organization, managing customer orders from initial receipt through shipment. This role coordinates closely with production, planning, quality, shipping, and sales teams to ensure orders are processed accurately, inventory is managed effectively, and customers receive timely, clear communication throughout the entire order lifecycle.

Responsibilities

+ Serve as the main point of contact for customers regarding order status, changes, and general inquiries throughout the order lifecycle.

+ Receive, review, and accurately enter customer purchase orders into ERP/MRP or related order management systems.

+ Coordinate order requirements and priorities with internal teams, including production, planning, quality, shipping, and sales, to ensure on-time delivery.

+ Monitor order progress and inventory levels, proactively identifying and resolving issues that could impact delivery dates or order accuracy.

+ Communicate shipping dates, schedule changes, and any delays to customers in a timely and professional manner.

+ Access and navigate customer portals, including those associated with government contracts, to retrieve order information, update statuses, and manage documentation.

+ Support order fulfillment activities by ensuring all documentation, approvals, and system updates are complete and accurate prior to shipment.

+ Provide sales support related to order status, customer requirements, and product availability, helping the team respond quickly to customer needs.

+ Adapt to a high mix, low volume manufacturing environment with a broad range of products, learning product details and requirements over time.

+ Manage changing priorities and fluid shipping schedules, adjusting plans and communication as needed with little notice.

+ Collaborate with colleagues at the North Carolina facility and, over time, support order processing for an additional manufacturing location in Miamisburg, Ohio.

+ Maintain detailed, organized records of orders, communications, and system updates to support internal reporting and customer service quality.

+ Contribute to continuous improvement of order processing workflows, communication practices, and use of ERP/MRP tools.

Essential Skills

+ 2-5 years of customer service experience in a manufacturing environment preferred.

+ Hands-on experience with order processing, including entering and managing customer orders in business systems.

+ Experience working with ERP/MRP systems strongly preferred.

+ Background in inventory and fulfillment processes within a manufacturing setting.

+ Experience handling purchase orders and providing sales support related to order status and product availability.

+ Strong communication skills to serve as a clear and reliable point of contact between customers and internal teams.

+ Ability to work effectively in a high mix, low volume manufacturing environment with a wide variety of products.

+ Comfort navigating customer portals, including those associated with government contracts.

+ Ability to manage changing priorities and shipping dates in a fluid, fast-paced environment.

+ Associate's or Bachelor's degree preferred, or equivalent manufacturing customer service experience.

Additional

Skills & Qualifications

+ Experience supporting aerospace, defense, industrial, textile, or composite manufacturing environments is a plus.

+ Prior exposure to government contract processes and associated customer portals is beneficial.

+ Strong organizational skills and attention to detail when handling multiple orders and product lines.

+ Ability to build positive relationships with customers and internal stakeholders.

+ Willingness to learn a large product portfolio and adapt to evolving responsibilities, including future support of additional locations.

Work Environment

This is a full-time, on-site position based at a manufacturing office, working standard first-shift hours five days per week. The current office location is in Belmont, with a planned move to McAdenville later in 2026. The facility operates in a high mix, low volume environment, producing a wide variety of products, so there is a strong emphasis on learning and understanding numerous product lines.
