The Receptionist answers incoming telephone calls, checks in patients as they arrive, schedules appointments, takes telephone messages and directs patients to various areas.
- Answers incoming phone lines in a prompt, courteous manner. Accurately records pertinent information when scheduling appointments and taking phone messages.
- Completely and accurately implements check-in process to include guarantor selection, updating demographic information, insurance entry and verification, copayments, and scanning of insurance card. Directs patient to correct waiting area. Verifies that signature of NPP is on file, if not has patient sign form and updates on system.
- Checks patient out after completion of physician visit or procedure. Schedules any necessary follow-up appointments.
- Schedules appointments according to physician's guidelines. Uses all options to represent the physicians' practices in an accommodating manner.
- Participates in opening and closing responsibilities and Saturday schedule, by rotation.
- Set up information on system for new patient accounts.
- Follows instructions regarding patient account status to determine delinquent accounts and alerts appropriate personnel at time appointment is scheduled.
- Collects patient payments accurately (includes cash, check, debit and credit card payments), enters payments into computer system and prints receipt.
- Refers patient's questions regarding insurance, billing, patient accounts, payments and record transfer to the proper department.
- Attends to physician needs in relation to work‑ins, canceling, rescheduling, or confirming appointments as directed by nursing staff or physician in an efficient and timely manner.
- Must meet productivity benchmarks as established for position to meet quality and quantity standards.
- Relay need for resource calendar changes and directive updates to Supervisor in a timely manner.
- Acts as a liaison for the physicians of the Beloit Health System by serving the public in a competent, positive, professional and efficient manner.
- Executes changes when indicated on patient data within the computer system, i.e., address, phone number, etc.
- Updates patients on doctors' schedule changes, such as running behind due to emergency. Obtains this information from the nurse.
- Prepares desk for next day by completing designated closing tasks, including updating physician directives, maintenance (56 screen), clearing work area of confidential patient information, updating computerized schedule, putting routing tickets in order, supplies work area with needed equipment, etc.
- Directs dissatisfied customers to Clinic Manager Patient Relations/Reception as necessary.
- Troubleshoots and/or problem‑solves issues avoiding interruptions for the physician and promotes a positive work environment.
- Demonstrates ability to perform functions accurately and efficiently with computer software application appropriate to position.
- Interacts in a positive, responsible and cooperative manner with patients, physicians, co‑workers and managers.
- Portrays a positive image for the Beloit Health System by dressing appropriately for the position. Wears photo I.D. badge for proper identification by others.
- Maintains a safe work environment for self and others. Attends mandatory safety training sessions and adheres to Beloit Health System and OSHA safety requirements. Ensures security of PHI. - High School graduate or equivalent required.
- Medical terminology and/or medical clinic reception experience preferred.
- Excellent organizational, verbal communication and interpersonal relation skills to be utilized with patients, public, and staff.
- Successful completion of post‑offer, pre‑placement physical exam.
