Office Professional - Middle School
Start Date: July 27, 2026
Reports to: Building Principal
Terms of Employment: 10 Months
Basic Function: The Middle School Office Professional, under the direction of the Building Principal, is responsible for completing all clerical tasks assigned by Building Administration and ensuring timely and accurate communications within the building and parent community. The Office Professional should provide service excellence in all interactions with staff, students, parents, and community members.
Qualifications- High School diploma or equivalent
- Experience with Word, Excel, Google Drive, and the ability to learn Student Information Systems such as Push Coin, Time Management platform, and HR information system
- Ability to demonstrate Service Excellence in all interactions with people
- Basic office skills (answering phones, filing, operation of basic office equipment such as copiers, fax, email, electronic calendars, etc.)
- Ability to multitask
- Strong organizational skills
- Capacity to handle confidential information discreetly
- Collaborative team player
- Ability to maintain confidentiality when dealing with school employees and the public
- Type correspondence, forms and special reports as directed by the administrator.
- Assemble and maintain building records and state reports.
- Administer student activity accounts using Quick Books and reconcile them monthly.
- Process and clean up incoming cumulative folders from elementary schools.
- Handle telephone communication, take messages, and route calls to appropriate parties.
- Manage tasks associated with extra‑curricular and athletics (transportation, eligibility, classroom coverage for coaches as necessary).
- Handle registration of incoming students.
- Provide service excellence in all interactions.
- Assemble and maintain appropriate data and files in the student computer system, including discipline and attendance records.
- Handle incoming funds such as registration fees, fund‑raising payments, fees for lost books and technology repairs.
- Work directly with counselors in enrolling new students. Enter demographic data, compile a schedule for the new student, and notify transportation for bussing services.
- Enter appropriate information and maintain a current file of student schedules and grades.
- Collaborate with teachers to run mid‑term grade information, stuffing envelopes and mailing information home to parents.
- Assist teachers with quarterly report cards, sorting and distributing them according to teacher preferences.
- Maintain student records regarding new and dropped students.
- Coordinate with administrators, counselors, and teachers to gather and enter all data pertaining to scheduling classes for students entering the next grade level.
- Collaborate with other building secretaries when needed.
- Perform other duties assigned by an administrator.
Evaluation: Performance will be evaluated in accordance with the Board’s policy on Evaluation of Educational Support Personnel.
