Salary Range: $55,000.00 To $62,000.00 Annually

Based in Milwaukee, WI, we operate the largest fresh 48 state LTL consolidation pool with more than 100+ trucks, and offer multiple sites with cooler, and air‑conditioned storage, distribution, and cross‑docking services. We operate refrigerated and non‑refrigerated warehouses for storage needs but also provide value‑added services such as specialty packing, kitting, and fulfillment needs.

General Accountabilities

The Order Management Specialist is responsible for overseeing the entire order lifecycle – this will include order entry – ensuring accuracy, efficiency, and customer satisfaction. This role acts as a liaison to the warehouse and customer service teams.

Order Processing in our Warehouse Management System (Accellos)
  • Workflow Management:
    Following defined order processing workflows within the system, which can be customized based on business rules and processes.
  • Fix all unallocated lines to ensure order is fulfilled in full.
  • Create and send waves for orders being sent through the layer picker.
  • Coordinate disposal loads by processing old inventory out of the system.
  • Product Availability:
    Check inventory levels to ensure items are in stock and available for fulfillment.
Coordination with Inventory and Warehouse
  • Fulfillment Request:
    Send order details and fulfillment requests to the warehouse.
  • Inventory Allocation:
    Ensure the correct items, quantities, dates and lots are allocated to the specific order in the warehouse management system.
  • Timely Fulfillment:
    Collaborate with warehouse teams to ensure orders are picked, packed, and shipped according to deadlines.
Communication with Customers
  • Order Status Updates:
    Provide customers with timely updates on their order status, including confirmations and any shortages.
  • Investigating and Resolving Discrepancies:
    Handle issues such as incorrect items received, damaged goods, or quantity errors.
  • Handling Customer Complaints:
    Professionally resolve customer complaints related to orders, demonstrating empathy and working towards a satisfactory solution.
Record Keeping
  • Accurate Records:
    Maintain detailed records of all orders, transactions, and customer communications within the warehouse management system.
  • Process Analysis:
    Identify areas for improvement in order processing workflows.
  • Workflow Optimization:
    Implement strategies to streamline and enhance efficiency in order processing (e.g., automation, lean principles).
  • Using Feedback:
    Gather feedback from team members and customers to inform improvements in order processing.
