Role Description

As a Client Services Coordinator at Nimlok North, you will play a crucial role in delivering comprehensive planning and service experiences to our clients. Located in St Paul, MN, this on-site, full-time position involves providing expert guidance, consultation and logistics coordination for the show services aspect of trade show events to ensure seamless execution.

Key Responsibilities
  • Serve as the show management contact to assigned clients for event show service needs and support.
  • Proactively provide project and event management direction from initial client request, order entry, production, shipping and post-show requirements.
  • Populate and organize deadline dates for critical show events and logistics in project management software.
  • Create and update show services estimates for clients with accurate pricing and quotes from preferred vendors.
  • Create project schedules for clients’ trade show appearances and ensuring that all deadlines are met and that client decisions/responses are obtained in a timely manner.
  • Create and cultivate positive relationships with vendors and trade show venues to effectively coordinate outside services.
  • Manage and complete the ordering for all services for upcoming client shows. Review all floor plans, electrical layouts, insurance information, etc.
  • Compile show service estimates, timelines and show service synopses and deliver to clients.
  • Secure transportation of all client exhibit properties to and from show site.
  • Coordinate on-site event labor for install and dismantle of exhibits.
  • Support other team members to ensure show management process is impeccably executed, as well as collaborate with other internal departments to ensure overall client satisfaction.
  • Perform general office duties, including filing, order office supplies, open/close office, answer phones and other duties as assigned.
Qualifications
  • High School Diploma. Associate or Bachelor’s degree preferred.
  • Minimum four (4) years trade show, event planning or related customer service and/or operations experience in retail or hospitality.
  • Excellent interpersonal communication and organizational skills.
  • Ability to prioritize and multitask in a team environment while working under deadlines.
  • Exemplary time management capabilities coupled with a motivated work ethic.
  • Proficient in Microsoft 365 applications (e.g., Outlook, Excel, Word), Adobe Acrobat Pro and Claris File Maker (or other database experience).
  • Willingness to answer show related calls and e-mails from vendors, clients and team members outside standard work hours—possible nights and weekends.
  • Manage client inventory and track assets.
  • Readiness to travel to client trade shows, as needed on the rare occasion.well in a team environment and appreciates a collaborative experience.
Physical/Environmental Requirements
  • Able to sit, stand or walk for the length of the work shift, up to eight hours.
  • Able to work on‑site in an open‑concept office and warehousing environment.to sit, stand or walk around for the length of the work shift, up to eight hours.
