Position

Description:

This is a part time position s position will cover the following areas: finance, planning, grant and contract monitoring, compliance with state and federal financial management standards, budgeting, payroll and HR support. General

Position Requirements
  • Knowledge of non‑profit finance, experience with state and federal reporting requirements, experience working with grants (writing, work plans, and budgets) required. Experience with Quick Books preferred.
Essential Duties and Responsibilities
  • Oversee all revenue sources and project/program and grants accounting.
  • Create a reconciling schedule for all revenue accounts for the year. Monitors spend down of each revenue account and balances.
  • Prepare and submit financial status reports for grants each month.
  • Prepare appropriate financial reports for the Executive Director in preparation for Board Meetings.
  • Prepare and submit budget amendments to grantors as needed.
  • Create a listing of all grants related to due dates for the year.
  • Assist in coordinating the annual audit process, contribute to the 990, budgeting process, and liaise with external accountants, auditors and the board of directors; assess any changes necessary.
  • Prepare all financial statements and records with established accounting standards like GAAP.
  • Oversee and lead annual budgeting and planning process in conjunction with the Executive Director. Prepare reports that will provide monthly update on budget spend down.
  • Administer and review all financial plans and budgets; monitor grant budget progress and compliance and keep leadership team abreast of the organization’s financial status.
  • Monitor financial management reporting system; ensure that the grant/contract billing and collection schedule is adhered to and that financial data and cash flow are steady and support operational requirements.
  • Carry out the grant financial reporting process including providing supervisors with up‑to‑date financial reports.
  • Update and implement all necessary business policies and accounting practices; improve the finance department’s overall policy and procedure manual.
  • Support donation and fund development.
  • Effectively communicate and present critical financial matters to the Executive Director.
  • Attend staff/board meetings as necessary.
  • Be aware of and maintain appropriate agency/client confidentiality.
  • Work directly with administrative and programmatic staff.
  • Provide ongoing financial training to the board of directors – as requested.
  • Maintain financial confidentiality related to staff information, organization finances, and budgets.
  • Post, screen and participate in agency hiring process.
  • Perform all background studies for new recruits and every two years thereafter for volunteers, board members and contractors and maintain staff rosters.
  • Actively maintain all hiring/onboarding and termination/offboarding of employees and associated tasks and paperwork.
  • Create, edit and maintain all forms.
Position Requirements
  • Preferred four‑year related degree. Minimum two‑year related degree and two years’ experience.
  • Preferred experience:

    5 years’ professional experience; ideally 3 years of financial management experience, grants management, accounting and accounts payable, knowledge of accounting rules, regulations, policies, and procedures for non‑profit and grant funding.
  • The ideal candidate will have experience of final responsibility for the quality and content of all financial data, reporting, and audit coordination.
  • Ability to translate financial concepts to and to effectively collaborate with programmatic staff who do not necessarily have finance backgrounds.
  • A track record in state and federal grants management.
  • Knowledge of accounting and reporting software, including Excel and Quick Books.
  • A successful track record in setting priorities; keen analytic, organization, and problem‑solving skills which support and enable sound decision making.
  • Excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders.
