- Schedule patients for complex specialty services according to clinical and operational policies
- Review referrals, provider orders, diagnostic results, and clinical documentation to confirm service, provider, and urgency
- Verify demographics, insurance, and authorization requirements
- Coordinate provider schedules across multiple locations, including urgent add-ons, cancellations, and rescheduling
- Apply clinical judgment to balance access needs, patient safety, and clinical appropriateness
- Serve as a clinical liaison for patient inquiries about symptoms, procedures, and scheduling
- Identify red flags and route concerns through triage pathways for escalation to nursing or providers
- Coordinate clinic visits, diagnostic testing, and procedures based on clinical context and provider guidance
- Monitor scheduling work queues and ensure referrals and orders are complete and actionable
- Perform delegated clinical support activities within licensure scope, including pre-visit planning, medication refill requests, supply maintenance, and care coordination documentation
- Gather, observe, record, and communicate patient responses to nursing interventions
- Implement assigned, ordered, or prescribed interventions
- Observe patients, document and report condition changes, and take necessary action
- Collaborate with PAS, nursing, and provider teams to support efficient access to care
- CMA or LPN licensure/qualification required
- Graduate of a recognized Medical Assistant program, or graduated from a school or college of nursing program leading to LPN licensure
- For CMA: nationally approved CMA certification or acceptable RMA registration through AMT
- For LPN: current practical nurse licensure in the state/states of practice
- One year of related experience desired
- Previous customer service experience in an office setting, preferably healthcare
- Knowledge of registration procedures
- Extensive computer skills
- Basic knowledge of system applications, billing systems, and third-party payers
- Medical terminology desired
- Compliance with regulatory, licensure, HIPAA, and organizational standards
Demonstrates expertise in patient scheduling, clinical coordination, and compliance with healthcare regulations. Proficient in managing patient inquiries and collaborating with clinical teams to ensure efficient access to care.
