The Project Accounting Specialist supports business operations by analyzing project and financial information, maintaining compliance related project documentation, and recommending process improvements that support efficient accounting, billing, collections, and project administration. This position works closely with Project Managers, the Construction Manager, and the Vice President of Finance to evaluate project information and support adherence to contract and internal process requirements.
Responsibilities include:
- Provide information and recommendations for the business to operate efficiently utilizing the ERP system (Viewpoint Vista).
- Manage accounts receivable activities by reviewing aging reports, identifying collection priorities, recommending escalation actions, and supporting resolution of payment issues.
- Lead project record setup, change orders, billing, and invoicing to support accurate financial reporting and contract compliance.
- Oversee compliance and completeness of contract specifications through the duration of the project.
- Manage the Master Subcontract Agreement repository for compliance and proper execution.
- Review HCSS Heavy Job functionality and reporting to identify process gaps and recommend improvements.
- Determine and develop continuous improvement initiatives to streamline accounting, project administration and documentation workflows.
- Prepare ad hoc financial reports and analysis.
- Prepare aggregate customer invoices and statements.
- Work on special projects.
- All other tasks as assigned.
The Project Accounting Specialist reports to the Vice President of Finance.

- Associate or bachelor’s degree in accounting or finance or equivalent experience.
- 3+ years administrative or general accounting experience preferred
- Excellent verbal and written communication, and high attention to detail
- Proficient in Microsoft Office-word, Excel & Outlook
- Experience with computerized accounting software
- Strong analytical, problem-solving, and organization skills with detail orientation
- Able to work independently and interact with employees and customers
- Valid, current Driver's License preferred
