Executive Personal Assistant / House Manager

Full-Time | Monday–Friday (40 hours per week + occasional evenings/weekends with advance notice)

Private Residence / Family Office

Cassie’s Cardinals is seeking a highly organized, proactive, and professional Executive Personal Assistant / House Manager on behalf of a private family located in Bend, Oregon.

This dynamic role combines executive-level administrative support, household management, financial oversight, and hands‑on personal assistance. The ideal candidate is detail‑oriented, trustworthy, adaptable, and thrives in a fast‑paced environment.

Position Overview

The Executive Personal Assistant / House Manager will provide comprehensive support to primary family members, oversee household staff and vendors, manage schedules, and ensure the smooth daily operation of the residence and related projects.

Key Responsibilities Administrative & Executive Support
  • Maintain and coordinate a detailed family calendar, including children’s school and activity schedules
  • Manage scheduling and logistics for family members
  • Serve as liaison between family members, household staff, consultants, and vendors
  • Maintain clear communication and organization across all parties
  • Online bill pay and check payments
  • Quick Books management for multiple accounts
  • Bank reconciliations and financial reporting
  • General bookkeeping (Quick Books proficiency strongly preferred)
Project & Property Administration
  • Represent the principal in coordination related to ongoing property development projects
  • Support various development projects at the primary residence
  • Track timelines, vendors, and documentation
Household & Personal Support
  • Supervise and coordinate other household staff
  • Shopping and online ordering (track packages, returns, mail delivery, and post office coordination)
  • Event planning and coordination for family gatherings and social events
  • Occasional childcare support, including driving children to school and activities
  • Comfortable assisting in a home with multiple dogs
Requirements
  • Highly organized with exceptional attention to detail
  • Strong written and verbal communication skills
  • Quick Books proficiency required; bookkeeping experience highly preferred
  • Ability to manage multiple priorities with discretion and professionalism
  • Reliable personal vehicle and clean driving record
